JOB SUMMARY

 

The Administrative Assistant provides administrative and clerical support to assigned departments and leadership to ensure efficient daily business operations. This position serves as a central point of communication by coordinating schedules, preparing correspondence, maintaining records, assisting with meetings, and supporting organizational projects.

The Administrative Assistant exercises professionalism, discretion, and sound judgment while handling confidential information and interacting with employees, physicians, vendors, patients, and external business partners. This position contributes to operational efficiency by maintaining organized administrative processes and delivering exceptional internal customer service.

Requirements

MINIMUM & PREFERRED QUALIFICATIONS


Education

Minimum: High school diploma or equivalent.

Preferred: Associate degree in Business Administration, Healthcare Administration, Office Administration, or a related field.


Experience

Minimum: At least two years of progressively responsible administrative or clerical experience supporting management or executive staff.

Preferred: Experience in a healthcare organization, medical practice, MSO, IPA, or other regulated environment utilizing electronic document management systems.


Skills, Knowledge & Abilities

· Excellent organizational and time management skills. 

· Strong verbal and written communication skills. 

· Ability to maintain confidentiality and exercise sound judgment. 

· Advanced proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and Teams. 

· Ability to prepare professional business correspondence and reports. 

· Ability to prioritize multiple assignments while meeting deadlines. 

· Strong attention to detail and accuracy. 

· Excellent customer service and interpersonal skills. 

· Ability to work independently with minimal supervision. 

· Ability to establish and maintain effective working relationships. 

· Ability to coordinate meetings, calendars, and departmental activities. 

· Knowledge of standard office practices and administrative procedures.

· Ability to maintain professionalism in stressful or rapidly changing situations.

 

PHYSICAL, MENTAL & ENVIRONMENTAL REQUIREMENTS

 

The physical demands described here are represented by those that must be met by an employee to successfully perform the essential functions of this job. There will be prolonged periods of sitting and working on a computer. Frequent use of hands and fingers to operate a computer, keyboard, and office equipment. While performing the duties of this job, the employee will regularly be required to walk, stand, bend, lift and/or move up to 15 pounds.
