Position Overview

The Sales Administrator serves as a vital bridge between executive leadership, the internal sales team, and incoming clients. In this hybrid role, you will perform high-level administrative functions and operational tracking while actively supporting sales, drafting quotes, coordinating proposals, and assisting law enforcement, military, and commercial clients.

Key Responsibilities

Administrative Support

  • Consolidate and prepare daily action summaries, tracking reports, and executive updates.  
  • Coordinate logistics for trade shows, client demonstrations, and high-level corporate travel.  
  • Maintain complete confidentiality and discretion regarding corporate data, sensitive client files, and executive correspondence.  

Sales Support

  • Field, pre-screen, and route incoming sales leads and inbound customer inquiries.  
  • Draft, generate, and process official price quotes, product proposals, and preliminary bid documentation.
  • Maintain client relationships through phone and email communications, ensuring timely follow-up throughout the sales pipeline.
  • Process sales orders and demonstration equipment requests.  

Operations & Accounting Alignment

  • Collaborate closely with the accounting team to facilitate order-to-cash workflows, customer billing, and invoice generation.  
  • Reconcile customer purchase orders (POs) and finalized contracts against original quotes and proposals.
  • Input and maintain detailed customer data, communication logs, and sales tracking metrics in the company CRM (QuickBooks / internal software).  
  • Track and summarize sales reports.  
Requirements

 Required Qualifications

  • Experience: 2–4+ years of combined experience in inside sales support, executive assistance, sales administration, or contract coordination.
  • Education: Associate degree or Bachelor’s degree preferred (or equivalent combined experience).
  • Software Skills: Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and hands-on experience with CRM systems and accounting software (such as QuickBooks).  
  • Communication: Exceptional verbal and written communication skills suitable for high-stakes client and agency correspondence.  
  • Detail Orientation: High level of accuracy in contract oversight, quote preparation, and tracking complex multi-part system specifications.

Preferred Skills & Experience

  • Background or familiarity with military, law enforcement, firearms training, or technical simulation products.
  • Prior experience dealing with government RFPs, price quotes, or bid processes.
  • Ability to multitask under tight deadlines in a fast-paced manufacturing/technology environment.  
Salary Description
$50K - $55K / yr
