Job Title: Events & Vendor Relations Coordinator   

Department: Marketing

Reports To: Marketing Manager 

Pay Scale: $40,000-$55,000

Gain Sharing: Opportunity to earn up to 20% of base salary each year

We are currently seeking a highly organized marketing professional to coordinate Geneva's participation in trade shows and industry events. This role will manage all logistics and ensure all stakeholders have the resources needed to effectively promote Geneva financing at events and help create exceptional on-site experiences. 


While Geneva participates in more than 30 trade shows and industry events each year, this position is largely performed during normal business hours from our Alexandria, MN office with limited travel.  


Duties and Responsibilities:


Trade Show & Event Coordination

  • Coordinate all aspects of Geneva's participation in more than 30 trade shows and industry events annually, including travel, lodging, shipping, booth services, and other event logistics
  • Manage event timelines, calendars, and deliverables while meeting deadlines and keeping stakeholders informed and aligned
  • Work with internal teams and vendor partners to plan and fulfill booth needs related to promoting Geneva’s financing programs
  • Prepare, stock, inspect, and maintain trade show booth cases and event materials to ensure Geneva’s presence at each event consistently meets company brand standards
  • Collaborate with the marketing team to develop promotional plans for each event
  • Ensure Geneva’s presence at each event continually meets company brand standards
  • Maintain post-event documentation, including expenses, invoices, and event recaps, to support reporting and improve future event execution

Vendor Relations & Marketing Support

  • Serve as a key marketing resource for vendor partners, recommending opportunities to promote Geneva financing in support of their event goals
  • Collaborate with design staff to coordinate the development of co-branded marketing assets, including print and digital materials
  • Manage vendor appreciation initiatives, including gift mailings, hosted events, and other relationship-building projects

Promotional Materials & Marketing Collateral Management

  • Manage inventory and coordinate orders for company merchandise, branded apparel, promotional products, and trade show materials. 
  • Stay current on apparel and promotional product trends and identify fresh ideas for Geneva’s merchandise and event materials.
  • Assist with marketing collateral strategy and coordinate with designers to ensure materials meet event objectives and align with Geneva's brand standards

Required Skills and Qualifications:

  • Associate's or bachelor's degree in marketing, communications, business, event management, or a related field, or a combination of education and relevant professional experience
  • 1+ years of experience in event coordination, marketing, project management, vendor relations, or a related role
  • Exceptional organizational skills and attention to detail with the ability to manage multiple projects and deadlines simultaneously
  • Strong communication and interpersonal skills with the ability to work effectively and professionally with internal teams, vendor partners, and external suppliers
  • A team-first mentality with the ability to anticipate needs, proactively solve problems, and take pride in creating seamless experiences for both internal teams and vendor partners 
  • Ability to work independently and manage multiple projects with minimal supervision

Preferred Skills and Qualifications:

  • 3+ years of experience coordinating trade shows, conferences, or large-scale events
  • Experience in B2B marketing or vendor relations
  • Familiarity with Adobe Creative Suite, particularly Adobe Illustrator, for updating and revising existing marketing materials 
  • Experience managing promotional products, print production and coordinating with outside vendors and service providers
  • Understanding of marketing collateral strategy and how marketing supports sales efforts
  • Experience using project-management platforms such as Asana 

Travel:

  • Ability to travel occasionally (up to 1–2 industry events per year)

Physical Demands:

  • Prolonged periods sitting/standing at a desk and working on a computer 
  • Ability to lift and transport up to 50 pounds of trade show and event materials

Supervisor Responsibilities:

  • This job has no supervisory responsibilities
