Position Summary
An Intake Specialist is responsible for taking incoming new client calls and meeting with potential new clients at consultation.
Essential Duties and Responsibilities
The essential functions include, but are not limited to, the following:
- Receiving phone calls, email, and chat from potential new clients
- Following up on potential new client leads
- Responding to potential new client’s emails and chat messages in a professional and timely manner
- Meeting with new clients in person and gathering information
- Communicating with various law firms to follow up on Firm referrals
- Ensuring case management software (CMS) feed is cleared daily
- Completing all assigned tasks by relevant deadlines
- Documenting all relevant activity in CMS properly
- Ensuring that client documentation is scanned into CMS and labeled properly
- Gathering important and detailed information regarding a client’s case
- Assisting Reception as needed
- Meeting with the Intake Attorney on a regular basis
- Performing other duties as assigned
Required Qualifications (Knowledge, Skills, and Abilities)
- 6+ months of intake experience
- Familiarity with Filevine and LeadDocket case management software
- High school diploma or equivalent
- A reliable vehicle, valid Nevada driver’s license, valid driver’s insurance, and proof of driving record
- Bilingual in English and Spanish
- Authorized Nevada Notary or ability to obtain Nevada Notary
- Ability to comprehend questions over the phone and quick to communicate knowledge efficiently
- Demonstrate effective time management and sense of urgency
- Well-developed communication and customer service skills
- Proficient in organizing important documents and personal organization
- Committed to maintaining integrity and confidentiality on behalf of clients and the Firm
