Immediate responsibilities center on Deltek VantagePoint, the firm's CRM, and OpenAsset, our digital asset management platform: establishing data standards and structure across both, integrating them into a connected system of record, and expanding our Power BI reporting to give leadership clear visibility into business development performance and opportunities.
The role operates at the intersection of Marketing, Business Development, Graphics, Accounting, and the firm’s design teams, translating each group's needs into durable standards, training, and workflows. - Serve as administrator for Deltek Vantagepoint and OpenAsset, owning configuration, user access, workflow setup, and ongoing platform health.
- Configure and maintain the integration between the two systems, managing the synchronization of shared fields, including project IDs, sectors, disciplines, locations, and media types.
- Plan and execute data migrations, validation checks, and cleanup efforts during system changes, upgrades, and new platform rollouts.
- Extend data structure and governance to the firm's project folders and the Egnyte network file organization as the role's scope grows.
- Coordinate with the Design Computation & Technology group on data connections to project-facing platforms, including LiveArch, the firm's in-house construction administration portal.
- Evaluate and pilot emerging tools and integrations where there is a clear operational benefit.
Data Governance & Standards

- Build and maintain the keyword taxonomy used to categorize, search, and reuse project information and image assets firmwide.
- Establish protocols for image usage rights, restricted content, and access permissions within the DAM.
- Define data ownership and stewardship responsibilities across departments, clarifying responsibility for record maintenance and system-editing rights for each system.
- Work with leaders across Marketing, Graphics, Accounting, and design teams to reconcile competing data definitions and arrive at standards the firm can sustain.
- Ensure firm and project data is structured, consistent, and reliable enough to support trustworthy AI-assisted workflows.
Reporting & Analytics
- Expand and maintain the firm's Power BI reporting for business development activity, pipeline, pursuits, and win rates.
- Work with Business Development and firm leadership to define meaningful metrics and translate open-ended questions into reliable reports.
- Ensure that figures reconcile across systems and provide leadership with accurate, actionable information.
- Handle complex data queries, list generation, and ad hoc reporting requests from Marketing and Business Development.
- Automate recurring reports to ensure the quality of support data.
Data Quality & Auditing
- Conduct systematic audits of project and client records across systems, assessing completeness, accuracy, and consistency against firm standards.
- Lead remediation of legacy data, resolving duplicates, gaps, outdated entries, and inconsistent classification at scale.
- Establish recurring checks, reports, and dashboards that keep data health visible and prevent regression once records are cleaned.
- Partner with the Graphics team to validate image quality, tagging accuracy, and metadata completeness in the DAM.
- Trace recurring quality problems back to the workflows and revise them to prevent future errors.
Collaboration, Training & Support
- Develop and deliver training that helps staff use these systems confidently, tailored to how each user group functions.
- Maintain a practical internal reference of guides, standards documentation, and templates.
- Drive adoption of new platforms and workflows, monitor usage, and follow up directly where uptake lags.
- Serve as the firm's point of contact for data and systems questions, triaging requests and escalating issues where appropriate.
- Coordinate with support staff on project asset ingestion, tagging, and file mapping as projects are onboarded and closed out.
- Convene regular working sessions with stakeholders across Marketing, Graphics, Accounting, and design teams to review data health, surface issues, and keep standards current.

- Experience building reports and dashboards in Power BI or a comparable business intelligence tool.
- Strong understanding of metadata design, taxonomy development, and structured data workflows across creative, technical, and marketing disciplines.
- Excellent communication skills with the ability to translate complex data concepts into practical guidance for non-technical users.
Preferred Qualifications
- Experience with Deltek Vantagepoint, OpenAsset, or comparable CRM and DAM platforms used in professional services firms
- Background in architecture, engineering, construction, or another project-based professional services environment.
