About the Role

As a Business Office Assistant at Pathfinder's Early Learning Center, you'll be one of the first welcoming faces families see when they arrive. You'll help keep the ELC running smoothly by providing excellent customer service, managing important records and documentation, supporting childcare payment and food program processes, and stepping into the classroom when needed. 



As a Business Office Assistant at Pathfinder, You Will:

Front Office & Family Support

  • Welcome families, visitors, and authorized vendors with professionalism and a friendly approach. 
  • Monitor building entry and ensure access is limited to parents, emergency contacts, authorized pickups, and approved vendors. 
  • Answer and direct incoming phone calls at the ELC front desk. 
  • Provide excellent customer service both in person and over the phone. 
  • Help create a welcoming and supportive experience for families and visitors. 

Administrative & Documentation Support

  • Complete required Child and Adult Care Food Program (CACFP) documentation on a daily, weekly, and monthly basis. 
  • Collect and maintain child and staff documentation required by Indiana Child Care Licensing. 
  • Maintain required Early Head Start files and documentation. 
  • Support Early Learning Center voucher and childcare payment processes. 
  • Complete administrative tasks and documentation assigned by the ELC Administrator. 

Classroom & Child Support

  • Provide care and support to children in a classroom for approximately two hours each day. 
  • Regularly provide restroom breaks for staff while maintaining required Indiana Licensing ratios. 
  • Follow established safety and emergency procedures when supporting children. 
  • Maintain CPR and First Aid certification and complete required Early Childhood Development training. 

Organization & Teamwork

  • Maintain accurate records and documentation. 
  • Manage multiple assignments while responding to changing needs and priorities. 
  • Participate in staff meetings, in-services, and assigned committees. 
  • Share knowledge and resources with coworkers. 
  • Use sound judgment and contribute positively to the ELC team. 
  • Follow Pathfinder's Employee Handbook and Policy Manual.

Requirements

Preferred Minimum Qualifications 

  • Minimum of a high school diploma/GED.
  • Valid driver’s license and current auto insurance required.
  • At least 18 years of age.
  • Proficient computer skills when using Microsoft Word and Excel.
  • Demonstrated ability to count basic change and complete basic accounting.
  • Ability to work a flexible schedule if needed.
  • Ability to speak, hear, and read the English language.
