Hinman, Howard & Kattell, LLP is seeking an organized, dependable, and team-oriented Paralegal to support our Elmira branch office. The position will primarily assist with residential real estate sales transactions, while also providing administrative support for eviction matters and other office needs.
The ideal candidate will have two to three years of experience supporting residential real estate sales . The successful candidate will be detail-oriented, communicate clearly, manage competing priorities effectively, and remain calm and professional in a busy legal environment.
Key Responsibilities
- Assist attorneys and other team members with residential real estate sales.
- Open new client and transaction files accurately and promptly.
- Create, print, organize, and maintain physical and electronic files.
- Maintain tracking systems for new matters, file assignments, deadlines, and outstanding items.
- Print title searches and other real estate documents.
- Distribute files and documents to attorneys for review.
- Scan, organize, and distribute executed closing documents.
- Close and transfer completed matters to closed-file storage in accordance with firm procedures.
- Enter and monitor docketing dates, deadlines, and reminders.
- Perform transcription accurately and promptly.
- Print, copy, assemble, and organize eviction pleadings and related documents.
- Coordinate service of eviction documents with process servers.
- Track service status and file affidavits of service with City Court.
- Communicate regularly with attorneys, paralegals, legal assistants, clients, realtors, process servers, and other parties regarding file status and outstanding items.
Qualifications
- Two to three years of experience involving residential real estate sales.
- Experience with eviction matters, court filings, or process-server coordination is preferred.
- Strong organizational skills and careful attention to detail.
- Ability to manage multiple files, deadlines, and requests simultaneously.
- Accurate transcription, proofreading, and document-preparation skills.
- Clear and professional written and verbal communication skills.
- Ability to work collaboratively and maintain a positive, team-focused approach.
- Sound judgment and the ability to handle time-sensitive matters calmly and professionally.
- Proficiency with Microsoft Office, scanners, printers, electronic file-management systems, and other office technology.
- Ability to maintain client confidentiality and handle sensitive information appropriately.
