Position Summary
Clearstead is seeking a detail-oriented and dependable Personal Accountant I to join our Personal Accounting team. This role supports private clients with day-to-day financial administration and reporting across several core service areas, including bill pay services, expense reporting and budget management, financial recordkeeping, bank and credit card activity tracking, and entity-related bookkeeping support. The ideal candidate is organized, proactive, highly accurate, and comfortable balancing multiple priorities in a fast-paced, client-focused environment.
To be successful in this role, the Personal Accountant I must be a strong communicator, a motivated team player, and someone who values discretion, integrity, and attention to detail when handling sensitive financial information.
Primary Responsibilities
· Support client bill pay services by tracking, processing, and coordinating payment of bills and invoices, including utilities, medical bills, dues, household expenses, and project-related invoices.
· Reconcile bank, credit card, and other non-investment account activity for clients enrolled in Personal Accounting services.
· Maintain accurate bookkeeping records and support general ledger activity related to household, business, and entity accounts.
· Assist with expense reporting and budget management, including categorizing expenses, tracking income and spending activity, and preparing customized reports on a monthly or quarterly cadence.
· Track expenses across properties, entities, and locations to support comprehensive client reporting and financial visibility.
· Maintain and organize digital financial records, including scanning, electronic filing, and document management.
· Generate basic financial reports to support client service needs, internal review, and advisor coordination.
· Communicate with clients, vendors, and internal client teams to address routine inquiries, provide updates, coordinate bill payments and funding, and help keep payments on track.
· Provide support for entity management activities, including bookkeeping, financial reporting, corporate filing coordination, and payroll-related support as needed.
· Assist with administrative functions, cross-functional projects, and other responsibilities as assigned.
Qualifications
· Associate’s degree in Accounting, Finance, or a related field required; Bachelor’s degree preferred.
· 2–5 years of experience in bookkeeping, accounting, financial administration, customer service, or a related client-facing role.
· Proficiency in Microsoft Office Suite, especially Excel and Outlook.
· Familiarity with bill pay systems, bank reconciliation processes, and basic financial reporting.
· Strong organizational skills with the ability to manage multiple tasks, meet deadlines, and maintain accuracy.
· Experience handling sensitive financial information with discretion and integrity.
· Comfort with digital document management systems and basic office technology.
· Excellent written and verbal communication skills.
· Ability to work both independently and collaboratively in a team environment.

Work Arrangement
This is a full-time, exempt position. The role is eligible for hybrid work with a three-day in-office minimum after the initial training period. This position reports to the Director of Personal Accounting.
