Description

SUMMARY OF DUTIES: 

This role is responsible for overseeing the recruitment, training, management, and coordination of volunteers, as well as the operation and administration of site services. The director ensures that volunteers are effectively engaged and supported, and that sites are adequately equipped and staffed to meet operational goals. They also work closely with other senior leaders to align volunteer strategies with the organization’s overall mission.


RESPONSIBILITIES:

Leadership & Strategic Planning:

  • Develop and implement strategies for volunteer engagement and site services to meet the organization’s goals and objectives.
  • Lead the volunteer and site services teams, providing vision, guidance, and operational direction.
  • Establish long-term plans for volunteer recruitment, training, retention, and site management, aligned with the organization’s mission and growth.

Volunteer Program Management:

  • Oversee the recruitment, screening, scheduling, coordination and retention of meal delivery, warehouse and office volunteers, including working with FeedMore WNY staff to identify volunteer-specific projects, responding to volunteer inquiries, scheduling and/or coordinating volunteers for FeedMore WNY projects, providing tours for volunteer groups, escorting volunteers throughout FeedMore WNY facilities as needed, and generating volunteer policies, protocols and standards.
  • Serve as key point of contact and ensures requests are fulfilled from community-based organizations, groups, corporations interested in volunteering with FeedMore or Hearty Helpings Inc.
  • Manage comprehensive orientation process for new volunteers.
  • Develop relationships with prospective volunteers while maintaining existing volunteer relationships. 
  • Oversee the coordination, promotion, and maintenance of the Adopt-A-Route program including strategizing and implementing a comprehensive volunteer recruitment plan by reaching out to corporations, businesses and community groups and finding and developing new markets to increase volunteer volume.
  • Create, implement and oversee volunteer recognition and retention events, community partner events, and other special events as needed.

Site Services Management:

  • Oversee the operational aspects of service sites, ensuring that they are trained, adequately staffed, effectively balancing the realities of daily triage with proactive management, and meeting the needs of program.
  • Oversee and serve as back-up for the coordination of site logistics, including scheduling, inventory management, and ensuring staffing requirements.
  • Work closely with site managers or assistants to ensure high-quality service delivery and seamless integration of volunteer support.

Training & Development:

  • Design and deliver training programs for volunteers and site staff, ensuring that they have the skills and knowledge required for their roles.
  • Implement leadership development opportunities for volunteers to enhance their growth and potential within the organization.
  • Regularly evaluate and update training materials to ensure relevance and effectiveness.

Stakeholder Engagement & Relationship Building:

  • Build and maintain relationships with key stakeholders, including community organizations, corporate partners, and other non-profit entities, to enhance volunteer and site services.
  • Engage with donors and partners to ensure volunteer efforts are aligned with fundraising and community outreach initiatives.

Data Management & Reporting:

  • Develop and maintain systems for tracking volunteer hours, site usage, and performance metrics.
  • Analyze volunteer and site data to assess effectiveness, identify trends, and recommend improvements.
  • Prepare and present regular reports on volunteer program outcomes, site services performance, and overall program impact to senior leadership.

Compliance & Risk Management:

  • Establish policies and procedures to mitigate risks and maintain a safe and supportive environment for volunteers and service recipients.
  • Regularly audit volunteer programs and site services for compliance with industry best practices and organizational requirements.

Community Engagement & Public Relations:

  • In partnership with Communications, ensure the organization’s volunteer opportunities are promoted through public relations efforts, community outreach, and social media.
  • Represent the organization at public events, conferences, or community meetings to raise awareness about volunteer programs and site services.

Other Duties:

  • Assist with any and all mission work as needed and requested with some or no prior notice including, but not limited to: serving as a truck spotter, helping with Farm Market/Community Garden/Freight Farms/on and off-site food distributions, preparation of meals and serving home-delivered meals.
  • Other duties as assigned.
Requirements
  • Bachelor’s Degree with a minimum of four years of experience in volunteer relations, community relations or fundraising for a not-for-profit or corporate organization
  • Excellent communication skills, both written and oral
  • Strong interpersonal and customer service skills
  • Innovative, self-starter who is able to work both independently and as part of a team
  • Ability to organize and prioritize work, be proactive, take initiative, resolve problems, follow through, and simultaneously manage multiple priorities to ensure goals are met
  • Knowledge of Microsoft Office, Word, Excel and Outlook
  • Knowledge of Raiser’s Edge, CERVIS or other donor database/volunteer management system a plus
  • Flexibility to work evenings and weekends to support FeedMore WNY events
  • Passionate about the goals and values of FeedMore WNY
  • Valid and current driver’s license and access to an automobile
  • Capable of lifting a minimum of 35 lbs.
Salary Description
$62,500-$64,700/yr.
