SUMMARY

The Pastoral and Liturgical Coordinator is an integral member of the parish staff, responsible for facilitating and coordinating various pastoral and liturgical activities under the guidance of the Business Manager and the Pastor. The role requires a deep understanding of the Catholic liturgy, pastoral care, and a passion for serving the community.


ESSENTIAL DUTIES AND RESPONSIBILITIES


Pastoral Coordination:

  • Coordinate and assist with pastoral activities including managing the weddings from start to finish (initial meeting, rehearsal and celebration), funerals (planning and meeting and day of), and other sacramental celebrations.
  • Recruit, train, supervise, motivate and support altar servers, lectors, ushers, and Eucharistic ministers, ensuring they understand their roles and responsibilities.
  • Provide pastoral support to parishioners in times of loss, such as during illness, bereavement, or crisis.
  • Supervise and coordinate Safe Environment training and compliance of all liturgical ministers.
  • Helps with Ministry Fairs 

Liturgical Coordination:

  • Oversee the scheduling and training of liturgical ministers, including lectors, ushers, Extraordinary Ministers of Holy Communion (EMCs), and altar servers for Sunday and weekday masses. Coordinate OCIA Rites.
  • Coordinate environment for setup and decoration of the church environment for various liturgical seasons and special celebrations.
  • Maintain and stock sacristy, (e.g., bread, wine, purificators, palms, ashes, easter candle, etc.), as well as manage its expenses.
  • Coordinate communion and visits to homebound.
  • Work with the pastor and deacons to plan and prepare for liturgical celebrations, ensuring adherence to liturgical norms and traditions.
  • Collaborate with choirs, and other stakeholders to enhance the quality of liturgical music and worship experience.
  • Baptism setup the day of the sacrament including Baptismal Font maintenance.

Administrative Duties:

  • Maintain accurate records and follow-up of wedding packages, liturgical schedules, volunteer assignments, and pastoral activities.
  • Design the weekly bulletin with the assistance of the parish secretary.
  • Assist Parish Secretary in the preparation and distribution of worship aids and other liturgical materials.
  • Assists with the weekly preparation of the bulletin and various forms of outreach to parishioners such as Flocknotes.
  • Communicate effectively with parishioners, volunteers, and staff members regarding pastoral and liturgical matters.
  • Collaborate with the parish office to ensure smooth coordination of events and activities.
  • Coordinate the parish Instagram and Facebook page by posting weekly.

Professional Development:

  • Stay informed about developments in liturgical theology, pastoral care, and Catholic Church teachings.
  • Attend necessary workshops, conferences, and other educational opportunities to enhance skills and knowledge relevant to the position.
  • Participate in ongoing formation and spiritual enrichment programs provided by the parish or archdiocese.

Other:

  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of sacramental data when needed.
  • Review and respond daily to incoming emails.
  • Respond to and resolve inquiries and questions related to duties.
  • Adheres to safety training and protocols on a daily basis and taking precautionary measures to ensure the safety and well-being of self and others.
  • When assigned to Special Events, duties may include but are not limited to coordination of special events for parish such as parish picnic and annual gala, setting up and tearing down events, coordinating and assisting volunteers and staff presence to host the events.
  • Assist in selling event tickets and processing Credit Card Payments after masses.
  • Maintaining Sacramental records in accordance with rules and regulations provided by Canon Law which is overseen by the Pastor.
  • Assist Church Secretary with the creation of advertisements in Canva or Publisher for upcoming parish events, when needed.
  • Supports and upholds the philosophy of Catholicism and the mission of the parish.
  • Adherence to the Archdiocesan Code of Conduct and the faith and Morals policy of the Catholic faith is mandatory.
  • Responsible for protecting the confidentiality of any information or material obtained in the service of the organization to include but not limited to client names and information services rendered to clients, donor names and gifts, internal and external investigations or result of any investigations, and financial information.
  • Every employee is required to take a solution-oriented approach in their interactions and undertakings, as well as being a team member that promotes collaboration and commitment to the Mission and vision of the organization.
  • Greets incoming parishioners at the door at weekend masses.
  • Assist with updating the parish website.
  • Other duties as assigned.

TYPICAL WEEKLY SCHEDULE:

  • Saturdays: 
    • 4:00pm Arrive and set out collection bags, arrange the altar, and updates bulletin board
    • Coordinate all mass ministers
    • Make any adjustments prior to, during and after mass, including sound system volume
    • 6:45pm Assures that everyone has left and everything is in order, including locking the doors
  • Sundays: 
    • 8:30am Arrive and set out collection bags, arrange the altar, and update bulletin board 
    • Coordinate all mass ministers
    • Make any adjustments prior to, during and after mass, including sound system volume 
    • 12:30pm Assures that everyone has left and everything is in order, including locking the doors
    • 5:00pm Arrive and set out collection bags, arrange the altar, and updates bulletin board
    • Coordinate all mass ministers
    • Make any adjustments prior to, during and after mass, including sound system volume
    • 6:45pm Assures that everyone has left and everything is in order, including locking the doors
  • Mondays: 
    • Assist with Bulletin creation
    • Review all ministries and schedule accordingly
    • Follow up with couples and wedding information
  • Tuesdays: 
    • DAY OFF
  • Wednesdays: 
    • Review all ministries and schedule accordingly
  • Thursdays: 
    • Follow up with couples and wedding information
    • Follow up with ministers who attended past week and those scheduled for this week
    • Review of upcoming weekend masses
  • Fridays:
    • 9:00am Start preparation for weekend masses
    • Confirm that Bulletin has arrived
    • Make available training for ministers
    • Follow up with ministers
    • Ensure that we have enough plastic deposit bags

SUPERVISORY RESPONSIBILITIES - This position has no supervisory responsibilities.

Requirements

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily; must be a practicing Catholic and active in a parish; possess the ability to honor and maintain confidentiality; must work well with people of all walks of life and possess the ability to lead and train liturgical ministers 


EDUCATION and/or EXPERIENCE 

  • High School Diploma or equivalent is required 
  • Associate's Degree preferred
  • Minimum of 4 years experience in Liturgical Ministry providing direct support

CERTIFICATES, LICENSES, REGISTRATIONS

  • Must be a baptized member of a Catholic parish faith community 
  • Must have dependable transportation
  • Driver’s License. 
  • Must maintain valid Vehicle Insurance 
  • Compliance with Archdiocese Safe Environment requirements
