Inventory & Materials Coordinator

Position Summary

The Inventory & Materials Coordinator is responsible for maintaining accurate inventory records and ensuring material movements and transactions are accurately reflected in the ERP system. This position supports receiving, outsourced material processing, production kitting, work order processing, material handling, cycle counting, inventory reconciliation, and material traceability.

The Inventory & Materials Coordinator works closely with Production, Quality, Purchasing, Accounting, and IT to maintain inventory accuracy, support timely material flow, resolve discrepancies, and improve inventory and material processes.

Essential Duties and Responsibilities

  • Maintain accurate inventory records for raw materials, work-in-process (WIP), and finished goods; ensure physical inventory aligns with ERP records and maintain supporting documentation and reports for reconciliation and audit compliance.
  • Process and verify receiving, outsourced material, and other inventory transactions in the ERP system, allocations, adjustments, and work order reporting; ensure quantities, part numbers, documentation, and system records are accurate.
  • Coordinate and perform cycle counts and inventory audits; investigate inventory discrepancies, identify root causes, reconcile variances, and process approved adjustments.
  • Ensure materials are properly identified, labeled, stored, and traceable in accordance with company requirements; identify and report obsolete, damaged, expired, or non-conforming inventory.
  • Print, process, hard allocate, and complete final reporting for work orders and related production documentation as required.
  • Kit, verify, and stage materials for production work orders, ensuring components, quantities, part numbers, revisions, and required documentation are accurate and materials are delivered to production on time.
  • Move, store, and handle materials throughout the facility and operate forklifts and other applicable material-handling equipment in accordance with safety procedures; maintain organized storage areas and good housekeeping standards.
  • Communicate material shortages, discrepancies, receiving issues, and other material concerns to appropriate departments and support timely resolution.
  • Perform other related duties as assigned.

Qualifications

  • High school diploma or equivalent.
  • Two years of experience in inventory control, materials management, warehouse operations, or manufacturing.
  • Experience using ERP/MRP systems.
  • Proficiency with Microsoft Excel and Microsoft Office applications.
  • Strong attention to detail, organizational, analytical, and problem-solving skills, with the ability to prioritize and manage multiple tasks.
  • Ability to perform accurate data entry and inventory transactions.
  • Ability to work independently and collaboratively in a team environment.
  • Effective verbal and written communication skills.

Preferred Qualifications

  • Experience in a manufacturing environment.
  • Knowledge of inventory control principles and best practices.
  • Experience with production kitting, receiving, outsourced material, cycle counting, inventory audits, inventory reconciliation, and root cause analysis.
  • Understanding FIFO inventory management and material traceability.
  • Ability to read and interpret manufacturing documentation and work orders.

Working Conditions & Physical Requirements

  • Work is performed primarily indoors in an office and manufacturing environment.
  • Frequent standing, walking, bending, stooping, twisting, reaching, grasping, and repetitive hand and wrist movements are required.
  • Ability to safely operate forklifts and other applicable material-handling equipment; forklift certification or ability to obtain certification in accordance with company requirements.
  • May require lifting, pushing, pulling, and carrying materials weighing up to 75 pounds, with or without reasonable accommodation.
  • Must follow all applicable safety policies, plant rules, procedures, and personal protective equipment (PPE) requirements.
