We are seeking a highly capable, polished, and exceptionally organized Executive Assistant to work directly alongside a busy Surgeon and Executive. This is a hands-on, highly trusted position for someone who thrives in a fast-paced environment, anticipates needs, communicates professionally, and is comfortable managing both business and day-to-day personal logistics.
The ideal candidate will work closely with the surgeon throughout the day, accompanying him between office locations and meetings and providing immediate assistance wherever needed.
Key Responsibilities
- Accompany the surgeon throughout the workday and assist with daily priorities and time management.
- Manage and respond to emails, text messages, and other communications as directed.
- Organize and prioritize correspondence requiring the surgeon's attention.
- Drive the surgeon between office locations, meetings, appointments, and other destinations as needed.
- Maintain and coordinate a frequently changing calendar and meeting schedule.
- Arrange and manage meals, including ordering, pickup, reservations, and coordinating around the surgeon's schedule.
- Prepare the surgeon for meetings and ensure necessary information, documents, and materials are readily available.
- Assist with follow-up items resulting from meetings, calls, emails, and conversations.
- Keep track of outstanding tasks and ensure important matters do not fall through the cracks.
- Communicate professionally with physicians, executives, employees, vendors, patients, and business associates.
- Handle sensitive and confidential information with the highest level of discretion.
- Be available, adaptable, and willing to assist with a broad range of professional and logistical needs as they arise.

Minimum Qualifications
- Bachelor's degree required from a reputable four-year college or university.
- Minimum cumulative GPA of 3.5.
- Excellent written and verbal communication skills.
- Exceptional organizational and multitasking abilities.
- Strong attention to detail and follow-through.
- Professional appearance, demeanor, and judgment.
- Excellent driving record and reliable transportation.
- Comfortable driving between multiple locations throughout the workday.
- Highly proficient with computers, smartphones, email, texting, calendars, and productivity applications.
- Ability to learn new technology and software quickly.
- Must maintain strict confidentiality and exercise excellent discretion.
- Must be dependable, punctual, flexible, and comfortable working closely with a physician/executive throughout the day.
Technology Skills
Compensation will take into consideration the candidate's level of experience and proficiency with business technology and software. Strong knowledge of programs and platforms such as the following is highly desirable:
- Microsoft Office, including Outlook, Word, Excel, and PowerPoint
- Google Workspace, including Gmail, Calendar, Docs, Sheets, and Drive
- Calendar and scheduling platforms
- Mobile communication and messaging applications.
- AI productivity tools
- Project and task-management software
- Electronic medical record or healthcare-related software experience is a plus
Candidates with advanced technology skills and the ability to streamline the surgeon's workflow will be especially valued.
Commitment
This position requires a minimum commitment of 18 months. We are specifically seeking someone interested in becoming a trusted, dependable member of the surgeon's professional team rather than someone looking for a short-term or transitional position.
Compensation
Starting compensation is $30–$35 per hour and is based entirely on the candidate's qualifications, capabilities, experience, educational background, and level of software and technology proficiency.
Placement within the starting range will be determined by the individual's demonstrated ability to manage a demanding executive schedule, communicate at a high professional level, work independently, use technology efficiently, and anticipate the needs of the surgeon.
Candidates with exceptional qualifications and advanced technology/software skills will be considered accordingly.
