Your Mission:

The Executive Assistant provides high-level administrative and operational support to the Chief Executive Officer (CEO) and Executive Leadership Team. Serving as a trusted partner and primary point of contact for internal and external stakeholders, this role is responsible for managing executive priorities, coordinating communications, and ensuring the efficient operation of the executive suite.


Explore the Depth of the Role:

  • Completes a broad variety of administrative tasks for the Executive Team including managing an active calendar of appointments; composing and preparing correspondence that is sometimes confidential; arranging travel plans, itineraries, and agendas.
  • Plans, coordinates, and ensures the CEO's schedule is followed. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's time and office.
  • Works closely and effectively with the Executive Team to keep them well informed of upcoming commitments and responsibilities, following up appropriately. 
  • Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the Executive Team updated.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters and other tasks that facilitate the Executive Team's ability to effectively lead the company.
  • Serves as the CEO's administrative liaison to key industry, government guests and network members.
  • Maintains discretion and confidentiality in relationships with network members.
  • Ensures that the Executive Team's biographies are kept updated and responds to requests for materials regarding the Executive Team and the organization in general.
  • Edits and completes first drafts for written communications to external stakeholders.
  • Organizes and coordinates executive outreach and external relations efforts; and oversees special projects.
  • Works independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
  • Effectively manages competing priorities, maintains confidentiality, and anticipates executive needs.
  • All other related duties as assigned.
Requirements

Mission Readiness:

  • Bachelor's degree required.
  • 2+ years of experience building and leading teams.
  • Prior experience supporting leaders within a manufacturing or industrial setting preferred.
  • Proficient in Microsoft Office products (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.
  • Experience as a former Executive Assistant and/or Military Aide-de-Camp preferred.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders.
  • Expert level written and verbal communication skills.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.
  • Highly resourceful team-player with the ability to also be extremely effective independently.
  • Proactive, resourceful professional who thrives in a fast-paced, mission-driven environment supporting the defense industry. 
  • Demonstrates exceptional judgment, discretion, and professionalism, with outstanding organizational, administrative, written, and verbal communication skills.

Physical Requirements:

  • May require standing, walking, or front desk coverage for extended periods
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 25 pounds at times (e.g., files, office supplies, etc.).
  • Ability to communicate clearly and effectively with production team members, leadership, and visitors, both verbally and in writing.
  • Occasionally required to stand, walk, bend, or reach within the office setting.
