Schedule Monday- Friday 8:00 a.m.-4:30 p.m.
This position provides administrative, project coordination, compliance, and operational support to Residential Services leadership. Responsibilities include conducting internal audits, monitoring staff training and onboarding progress, coordinating special projects, maintaining documentation and tracking systems, supporting quality improvement initiatives, assisting with scheduling and communication, and helping ensure program operations remain organized, compliant, and aligned with leadership priorities.
Essential Duties:
Conduct routine internal site audits of program documentation, records, and operational practices.
Monitor staff training requirements and completion of trainings.
Coordinate and track special projects assigned by the Director of Residential Services.
Develop project timelines, monitor progress, and provide status updates to leadership.
Ensure completion of assigned tasks and deliverables within established deadlines.
Schedule meetings, prepare agendas, record meeting minutes, and track action items.
Assist with implementation of new initiatives, programs, and operational improvements.
Maintain calendars, reminders, and tracking systems for leadership priorities.
Organize and maintain electronic and physical files related to residential operations.
Assist with onboarding activities, including monitoring 120-day onboarding progress.
Coordinate communication and distribute information from Director of Residential Services or other upper management leadership.
Respond to requests for information and assist in resolving administrative issues.
Coordinate with the Residential Quality Assurance Director to assist in collecting and compiling audit data and supporting documentation for quality improvement initiatives.
Support residential leadership in managing operational priorities and workflow processes.
Participate in quality improvement and performance improvement activities.
Assist with scheduling shift coverage as needed.
Assist with interviews as requested.
Provide assistance with program coverage in the absence of the Director of Residential Services and other program leaders.
Perform other duties as assigned to support the efficient operation of Residential Services.
Management has the right to add or change the duties of this position at any time.
EDUCATION and/or EXPERIENCE
Associate’s degree with at least one year of experience in office administration or related field; or high school diploma or GED with a minimum of three years of experience in office administration field. Two years of experience in residential behavioral health settings preferred.
