Position Summary

Legacy Risk Solutions is seeking a highly organized and detail-oriented administrative professional to join our growing team. This position supports the PNIG-Atlanta office across day-to-day operations and the administration of key agency systems. The role plays an important part in creating an exceptional employee and client experience while maintaining the accuracy and integrity of critical business data.

What You’ll Do:

  • Greet and welcome guests upon arrival and ensure they are directed to the appropriate person or office.
  • Maintain a professional, clean, and welcoming reception area.
  • Answer, screen, and route incoming phone calls.
  • Provide accurate and helpful information in person, by phone, and via email.
  • Receive, sort, and distribute daily mail and deliveries.
  • Process outgoing mail and other office correspondence.
  • Print and mail invoices, certificates, auto ID cards, proposals, and policy books.
  • Process Accounting, Licensing & Contracts mail by scanning, tasking, and scheduling items in the appropriate system.
  • Maintain agency shared calendars and assist with scheduling as needed.
  • Scan incoming mail and assign items within the agency management system.
  • Assign unassigned tasks within the agency management system.
  • Download and assign webmail within the agency management system.
  • Generate monthly production reports and ad hoc reports as needed.
  • Update quarterly pivot tables and generate quarterly sales scorecards.
  • Order, organize, and maintain office and break room supplies and inventory.
  • Coordinate and schedule approved business travel.
  • Coordinate company events, meetings, and required catering.
  • Order flowers and food for employee events and life events, including bereavements, new babies, retirements, and other occasions.
  • Perform general administrative and clerical duties, including filing, photocopying, faxing, and document organization.
  • Provide additional administrative support and perform other related duties and responsibilities as assigned.


Requirements

 What We Are Looking For:

  • High school diploma or equivalent required.
  • Minimum of two years of administrative or office support experience.
  • Proficiency with Microsoft Windows and Microsoft Office 365, including Word and Excel.
  • Strong organizational skills with the ability to prioritize and manage multiple tasks while meeting deadlines.
  • Excellent verbal and written communication skills, with the ability to communicate information clearly and professionally.
  • Self-motivated, dependable, and able to work independently with minimal guidance.
  • Demonstrated initiative and willingness to take on additional responsibilities.
  • Strong emphasis on teamwork, collaboration, data accuracy, and process improvement.
  • Ability to take direction while also demonstrating ownership and accountability within areas of responsibility.
  • Exceptional attention to detail and a commitment to accuracy.
  • Professional, positive, and service-oriented approach to working with employees, clients, and visitors.
