Lido Advisors, LLC, an established and expanding wealth management firm, is looking for a Global Receptionist & Administrative Coordinator to serve as the firm’s primary point of contact for inbound calls and provide administrative support across the organization. The Global Receptionist & Administrative Coordinator plays a critical role in creating professional and seamless experience for clients, prospective clients, vendors, and other callers. This position is responsible for ensuring inbound calls are answered promptly and professionally, accurately routing callers to the appropriate team members, managing voicemail and follow-up, and maintaining organized records of inbound activity. In addition to phone coverage, this role provides general administrative support, including calendar coordination, meeting logistics, correspondence, and data entry.


This is an on-site, full-time position requiring availability throughout the full business day to ensure consistent coverage of the firm’s inbound calls. Duties and Responsibilities

  • Serve as the firm’s primary point of contact for all inbound calls across the organization. 
  • Answer calls promptly, professionally, and with consistent Lido brand experience.      
  • Identify the nature of each call, including existing clients, prospective clients, vendors, recruiters, and general inquiries, and route callers to the appropriate internal contact. 
  • Warm-transfer existing clients to their Wealth Advisor or appropriate office/team member. 
  • Route prospective clients to the appropriate Client Relationship Management or Advisory team. 
  • Direct vendors, recruiters, and other external inquiries to the appropriate internal contact. 
  • Manage voicemail from end to end, including checking, documenting, routing, and ensuring timely follow-up on messages. 
  • Maintain an organized call log and track inbound activity to ensure all calls and messages are appropriately addressed. 
  • Schedule and coordinate meetings, calls, and appointments on behalf of team members. 
  • Manage calendars, send meeting confirmations, and coordinate meeting logistics. 
  • Maintain organized records of contacts, messages, and follow-up actions. 
  • Provide general administrative support to various departments during periods between inbound calls. 
  • Assist with correspondence, document preparation, data entry, and other administrative tasks as needed. 
  • Demonstrate a high level of professionalism, responsiveness, and accountability in every interaction. 
  • Regularly seek opportunities to improve administrative processes and collaborate with colleagues across the organization. 
Requirements
  • Minimum of 2 years of professional experience in a receptionist, front desk, administrative, or similar client-facing role. 
  • Exceptional phone manner with the ability to communicate in a warm, professional, and clear manner. 
  • Strong organizational skills and exceptional attention to detail. 
  • Highly reliable and accountable, with a strong sense of ownership and follow-through. 
  • Ability to manage multiple priorities, stay organized, and ensure that no calls, messages, or follow-up items fall through the cracks. 
  • Excellent verbal and written communication skills. 
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel. 
  • Ability to work independently and remain engaged and responsive throughout the full business day in a remote environment. 
  • Ability to adapt to a fast-paced, changing business environment. 
  • Professional demeanor and commitment to providing an exceptional experience to every caller and internal stakeholder. 

Preferred Qualifications

  • Experience in financial services, wealth management, or professional services. 
  • Experience with Salesforce or another CRM system. 
  • Familiarity with multi-line or cloud-based phone systems. 
  • Experience supporting a distributed, remote, or multi-office organization. 
  • Experience managing high-volume inbound calls and/or front-office operations.
