SUMMARY
The Purchasing Clerk I provides administrative and operational support to the Procurement department, assisting the buying team with purchase order management, vendor communication, ERP maintenance, and supply chain coordination. This role is designed for individuals with prior administrative or clerical experience in a purchasing or related industry environment and serves as the foundational step in ESL's Procurement career path.
ESSENTIAL DUTIES
· Provide administrative and operational support to the Procurement team to ensure accurate and timely purchasing activities
· Maintain and update purchasing records, vendor data, and ERP system information to support departmental visibility and accuracy
· Support open purchase order management through consistent follow-up, expediting, and status communication across departments
· Assist the buying team with vendor coordination, quoting, and supply chain activities as directed
RESPONSIBILITIES
· Follow up on open purchase orders and expedite deliveries to confirm or improve expected delivery dates
· Request quotes for outside process requirements per drawing specifications and negotiate cost and lead times as directed
· Review and confirm min/max quantities in Epicor and flag discrepancies for buyer review
· Update ERP item descriptions and costing as directed
· Spot check purchase orders for pricing accuracy and correct items
· Request vendor credits and follow up to ensure timely resolution
· Help coordinate and prepare materials to be sent to outside vendors
· Communicate status of critical purchase orders and outside process orders to receiving, leads, and supervisors
· Support the buying team with additional purchasing tasks and projects as assigned.
QUALIFICATIONS

· Strong attention to detail and accuracy in data entry and documentation
· Strong written and verbal communication skills
· Strong organizational skills with the ability to manage multiple priorities simultaneously
· Proficient in Microsoft Office Suite (Word, Excel, Outlook)
· Experience with or ability to learn ERP/MRP systems (Epicor preferred)
· Familiarity with AI tools such as Claude or similar platforms is a plus
· Bilingual in English and Spanish is a plus

EDUCATION and/or EXPERIENCE:
· High School diploma or equivalent required; Associate's degree in Business, Supply Chain, or related field preferred
· Minimum 2 years of administrative or clerical experience in a purchasing, procurement, or related industry environment required
· Background in electrical, manufacturing, or industrial distribution is preferred
WORK ENVIRONMENT
While performing the duties of this job, the employee is regularly exposed to normal operating working conditions. The noise level in the work environment is usually moderate.
