POSITION SUMMARY
This position requires leadership skills and strategic thinking abilities. As the mortgage industry evolves into a digital age, the candidate for this role must be forward-thinking in developing workflows that capitalize on technology improvements. We are looking for someone who can think outside the box when it comes to traditional procedures and optimize processing turn times to facilitate production growth. This role must balance the highest level of customer service to every party involved in the transaction, both internally and externally, while meeting aggressive workflow milestones.
ESSENTIAL JOB FUNCTIONS
Customer Service:
- Provide anyone associated with the origination process with the highest and most efficient level of customer service in a friendly, courteous, and helpful way possible.
- Communicate approvals to appropriate parties, both written and verbal.
- Put together a complete loan package that properly communicates the borrower’s story to the underwriter.
Legal Compliance:
- Ensure all loans are processed in strict accordance with MIG, investor, agency, federal, state, and regulatory guidelines. Ensure all documentation obtained corresponds directly to the loan or product type chosen by the client, that each form or piece of paper is original, if applicable, and free of errors or misrepresentation, and has proper signatures and dates. Ensure LE, initial 1003, Intent to Proceed, and Servicing Disclosure are compliant.
Loan Processing/Customer Service:
- Maintain current pipeline, meeting a minimum of 20 closed loans per month.
- Update and coordinate with the Loan Officers or clients regarding loan file statuses (including suspended files).
- Review Loan Origination Systems and automated underwriting data/information on a frequent basis to include, but is not limited to: Lock-in, Appraised Value, Loan to Value, Loan Amounts, Income and Assets information.
- Obtain PUD/CondoID when necessary, order Liability Insurance, etc. from an agency, the Agent or Seller.
- At minimum request contract, HFA (state agency) required documents, plans and specifications, applicable documentation for product and loan type from agent/client.
- Verify property address and pull Data Tree upon receipt of file, review, update, and notify appropriate partners.
- Order Title Work within 48 hours of receipt of loan file into pipeline.
- Order appraisals and any other related documents.
- Notify realtors, borrowers, or clients of all appraisal findings, coordinate the receipt of all final certifications and inspections with realtors and appraisers or clients, and place appraisal invoices in imaging. Disclose final appraisal to borrower(s).
- Obtain homeowner’s insurance documentation, termite letters, property taxes, and coordinate closing debt pay-offs with title company and closer.
- Submit accurate and complete final loan package for underwriting.
- Complete an 8-hour processor continuing education course each year – to process KY or other state property loans
- Efficiently maintain and control a loan pipeline including Conventional, FHA, VA, RD and all HFA (state bond) files, and have an excellent understanding of all aspects of loan program guidelines.
Incidental Functions:
- If necessary, meet with customer to collect documentation when Loan Officer is absent with cause.
- Perform the work of other processors during illness or vacation.

Minimum Education:
- High School or Equivalent
Minimum Knowledge:
- Ability to work with remote team members
- Extremely comfortable learning and using different operating systems
- Ability to operate proficiently within the Encompass LOS environment
- Proficiency in multiple state regulations
- Ability to follow different workflows based on Loan Officer’s communication needs
- Ability to relate to all types of personalities and situations in an empathetic, calm, rational, and professional manner, maintaining a proper balance to meet all sales and corporate needs
- Strong interpretive reasoning, problem-solving ability, and excellent analytical skills
- Excellent written and oral communication skills

- Record all hours worked accurately and honestly in the timekeeping system
Minimum Experience:
- Minimum 5 years processing secondary market mortgage loans including a strong knowledge of Conventional, FHA, VA, USDA, HFA’s, NonQM.
- Basic understanding of Broker products.

PHYSICAL REQUIREMENTS
Must be able to navigate throughout the building. Must be able to hear and communicate well. Must have good eye-hand coordination and finger movement for use in computer software programs.
