Position Summary
The Legal Intake Specialist is the firm's first point of contact with prospective personal injury and workers' compensation clients, guiding them from initial inquiry through signed representation. The role blends sales instincts with empathy: assessing claims, responding to emotional callers with care, gathering complete information, and converting leads into clients. Weekend availability is required; a hybrid schedule may be available for weekend days worked (three weekdays in the office, two weekend days from home).
What You'll Do
Client Interaction
- Serve as the first point of contact for prospective clients across phone, live chat, web forms, and walk-ins, providing information about the firm's services and answering preliminary questions
- Screen and score incoming leads against case-acceptance criteria (injury type, liability, insurance coverage, statute of limitations) to prioritize follow-up
- Run a structured, multi-touch follow-up cadence (call, text, email) through to a signed agreement or a documented disqualification
- Send, track, and close out e-signature fee agreements
Data Collection & Reporting
- Gather complete client information through structured intake forms and interviews, and enter it accurately into the firm's CRM/case management system (SmartAdvocate)
- Track conversion rates and other intake KPIs, and report progress against team goals
Scheduling and Coordination
- Schedule client appointments and attorney follow-ups, coordinating with marketing and client service to keep the handoff seamless
Documentation and Record-Keeping
- Maintain accurate, confidential client records and required file documentation
- Ensure all intake documentation complies with applicable legal and regulatory requirements
Client Service
- Resolve client concerns promptly, maintaining a professional and empathetic demeanor throughout every interaction
Referral Partner Outreach and Communication
- Build and maintain referral partner relationships through regular, timely communication
Administrative Support
- Support the team with general office duties and special projects as assigned
- Provide intake reporting to marketing and firm leadership
- High school diploma or equivalent required; associate or bachelor's degree preferred
- Previous experience in customer service, administrative, education, or healthcare setting preferred
- Strong organizational and time management skills, with the ability to prioritize and multitask effectively
- Excellent verbal and written communication skills, with the ability to communicate professionally and confidently with employees and clients
- Strong computer skills
- Ability to maintain confidentiality and handle sensitive information with discretion
- Bilingual in Spanish preferred
- Willingness and availability to work weekends
- Empathy and patience when working with prospects, clients, and referral partners
Physical Requirements
- Ability to perform essential job functions in compliance with the ADA, FMLA, and other federal, state, and local regulations
- Ability to maintain regular, punctual attendance in accordance with workplace standards
- Must be able to communicate clearly via phone and other mediums
