Position Summary
An Intake Assistant is responsible for supporting the Intake team with various administrative tasks.
Essential Duties and Responsibilities
The essential functions include, but are not limited to, the following:
- Assisting Intake Specialists with opening new files for potential new clients in case management software (CMS)
- Printing all hiring documents for potential new clients during consultation
- Providing potential new clients with referral information for cases that are outside of the practice area
- Communicating with various law firms to follow up on Firm referrals
- Ensuring case management software (CMS) and lead management software (LMS) feed is cleared daily (documenting all relevant activity in CMS properly)
- Ensuring that client documentation is scanned into CMS and labeled properly
- Assisting Intake Specialists with setting up treatment for potential new clients
- Ensuring that gift bag inventory is stocked and gift bags are assembled
- Ensuring that intake inventory is stocked
- Assemble GGRM folders and intake folders for potential new clients
- Assist reception front desk when needed
- Performing other duties as assigned
REQUIRED QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)
- 6 months of assistant level experience in an office setting
- High school diploma or equivalent
- Bilingual in English and Spanish
- Excellent customer service skills, providing a friendly, welcoming face for all visitors to the Firm
- Ability to work well with others and be a team player
- Ability to maintain a fast pace under stressful circumstances and multi-task
- Excellent interpersonal, oral, and written communication skills
- Organized with attention to detail
- Proficient with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook
- Committed to maintaining integrity and confidentiality on behalf of clients and the Firm
PREFERRED QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)
- Minimum of one year of customer service experience
- Multi-line phone experience
- Authorized Nevada Notary
