Hours: Monday - Fri 8:00 - 4:00 PM ( with Supervisor Discretion)
The Healthcare Billing Coordinator will primarily maintain and coordinate accounts receivable for Complete Living Care, Transitional Care, and Outpatient Therapy in the Wellness Center. Responsibilities include monthly resident billing, Medicare billing, other insurance billing, and data entry.

Who is VMRC?
VMRC is a Christ-centered, nonprofit continuing care retirement community offering independent living, assisted living, skilled nursing, and memory care for older adults. It also provides wellness programs, educational opportunities, and arts and cultural activities for residents and the wider community.
- High school diploma or equivalent plus business school coursework with 1-2 years of experience in bookkeeping and computer/data entry functions is required
- (Associate’s degree and at least 1 year of experience with Medicare billing preferred).
- Must be highly organized, detail-focused, and maintain a high level of accuracy.
- Must possess the ability to effectively communicate and interact, in a customer service focus, with staff, residents, family members, and vendors.
- Must have extensive experience with Microsoft Office suite programs (Word, Excel, Outlook, etc.).
- Ability to function in a team environment.
- Strong work ethic and results-focused, as well as the ability to work with limited supervision.
A. Essential Functions
1. Maintains current resident files, including up-to-date census, responsible party, insurance, and billing information.
2. Ensures that insurance payments are posted daily.
3. Performs benefits checks for potential admissions.
4. As requested, attends family meetings for new admissions to explain insurance billing and the collection process.
5. Reviews delinquent accounts and contacts responsible parties to make arrangements for payment.
a. Provides follow-up as needed.
b. Meets with the CFO and/or the Controller to discuss delinquent accounts and notes the necessary actions taken.
6. Receives “change in resident status” reports for Supportive Living to maintain current census report and verifies changes in billing software database.
7. Coordinates Medicare, Medicaid, and other insurance receivables to minimize bad debt and maintain efficient collections.
8. Maintains contact with residents’ family and VMRC Social Services to ensure knowledge of residents’ financial and Medicaid eligibility status.
9. Responds to the CFO and Controller as assigned with accurate and timely work to facilitate financial reporting for the organization.
10. Participates in a wide variety of special projects and compiles a variety of special reports.

A. Physical Demands
The physical demands described here are representative of those an employee must meet to successfully perform the essential functions of this job. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Required to work extended periods of time at a video display terminal.
Emergency requirements are defined by service line expectations and may differ based on the nature of the emergency.
B. Work Environment
While performing the duties of this job, the employee is infrequently exposed to dust, fumes, odors, and airborne particles, with limited exposure to biological and chemical hazards, and mechanical equipment.
C. Position Type/Expected Hours of Work
This position operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
D. Supervisor Responsibility
This position has no supervisory responsibilities and is not responsible for who can access confidential information.
E. Access to Confidential Information
This position has access to complete patient/resident medical records, patient/resident demographic information, accounts payable/receivable, and billing/financial records. No access to employee records/files.
