We are seeking an Executive Assistant to provide direct support to the leadership team at Lalor Family Dental.
The ideal candidate will be a sharp, energetic, and dependable individual with a positive attitude and willing to be a team player. Should be assertive, not passive, and someone who will take initiative. Should enjoy taking things to completion and not leaving things unfinished. Must be able to be collaborative and enjoy working with a high functioning team.

Key Responsibilities
- Support the leadership team by protecting their time and helping them stay focused on patient care, business growth, strategic priorities, and the overall vision of the organization.
- Serve as a liaison between members of the leadership team and key staff members, helping ensure clear communication and follow-through.
- Manage calendars and schedules for members of the leadership team, including coordinating meetings, appointments, and meeting agendas.
- Arrange travel by developing itineraries and agendas, booking transportation, lodging, and meeting accommodations.
- Answer questions and requests directed to members of the leadership team and ensure appropriate follow-up.
- Handle general correspondence, including sending emails, screening calls, scheduling appointments, and accurately transcribing meeting minutes and other important documents.
- Coordinate and complete errands and other administrative tasks during the week as needed.
- Perform data entry tasks, including inputting and updating information in spreadsheets and databases.
- Provide organizational support by managing correspondence, prioritizing tasks, coordinating projects, and ensuring deadlines are met.
- Provide administrative and organizational support for leadership initiatives, projects, and strategic planning across the organization.
- Stay one step ahead of the leadership team by anticipating needs, identifying potential issues, and taking a proactive approach to problem-solving and independent thinking.
- Coordinate and follow up on action items to ensure projects and priorities are completed in a timely manner.
Requirements
- Extremely strong writing skills. Ability to write letters, presentations, and other written communications.
- Must be able to work within deadlines and execute in a fast-paced environment
- Must be able to manage multiple projects at the same time and be flexible to accommodate last minute changes
- Stay one step ahead of the Doctor by anticipating his needs and by taking a proactive approach to problem solving and independent thinking
- Organization is a MUST
- Must have great phone skills
- Proficient in Microsoft Word, Excel, PowerPoint, Google Suite (experience with google calendar a plus)
- Must be punctual and have excellent time-management skills
- Detail-oriented with a high level of accuracy in performing tasks.
- Must have an outgoing and positive demeanor
- Strong problem-solving skills and the ability to work independently or as part of a team.
- Must have after-hours availability.
- Must be discrete and confidential (Ability to maintain confidentiality and handle sensitive information with discretion).
Wide range of duties including help run errands and being involved in strategic planning for the organization.
- No experience necessary, looking for quick learners who are willing to be trained.
