ABOUT US
Namify is in the business of belonging. For more than 20 years, we’ve helped organizations strengthen their brands, recognition programs, corporate gifting, and employee experiences.
Our mission is simple:
To connect and unite people, one brand at a time.
And how we get there matters. Our core values guide the way we work:
Put People First
Treat people with respect, kindness, and a willingness to help.
Embody an Attitude of Ownership
See something that needs to be done? Own it. Follow through. Learn from mistakes and make things better.
Stay Cool Under Fire
Plans change. Problems happen. Deadlines get tight. We stay positive, think clearly, and figure it out.
Why This Role, Why Now?
Namify is in a season of growth and change. We’re continuing to expand our business, launching new software and technology, improving the way we work, and building systems that will help us scale.
That growth creates a need for someone who can help keep the people and details behind the business organized.
That’s where you come in.
As our Administrative Assistant, you’ll work closely with our CEO and executive team, helping them stay organized, prepared, and focused while also supporting the broader office. You’ll have visibility into how a growing company operates and the opportunity to take on more responsibility as you develop.
This isn’t a role where you’ll simply check boxes every day. We need someone who can notice what needs to happen, take ownership, and help us keep things moving.
ABOUT THIS JOB
As our Administrative Assistant, you’ll help keep our CEO, executive team, and office organized and moving forward. Some days will be highly structured; others may involve an unexpected project that needs someone to jump in and make it happen.
You’ll have the opportunity to:
- Manage calendars, schedule meetings, send reminders, and coordinate meeting logistics.
- Take clear meeting notes and follow up on action items.
- Help executives stay organized, prepared, and focused on their highest priorities.
- Coordinate company meetings, lunches, events, and employee engagement activities.
- Plan and coordinate company incentive travel and special events.
- Support office and facility needs, including supplies and day-to-day organization.
- Welcome visitors and help create a professional, friendly experience.
- Assist with reports, presentations, communications, research, and special projects.
- Keep track of details, deadlines, commitments, and the occasional “Hey, can you help me figure this out?”
- Look for ways to make processes simpler, faster, and better.
- Take on additional responsibilities as your skills and knowledge grow.
WHO WE THINK WILL THRIVE HERE
We’re looking for someone who is:
- Naturally organized and notices details other people miss.
- Dependable and follows through on commitments.
- Comfortable managing multiple priorities and adjusting when plans change.
- A clear and professional communicator.
- Curious and willing to ask questions when they don’t know something.
- Quick to learn new technology, software, and processes.
- Comfortable interacting with everyone from a new employee to the CEO.
- Proactive and willing to take ownership rather than waiting to be told every next step.
- Calm, positive, and solution-oriented when things don’t go according to plan.
- Someone who enjoys helping others and making things run smoothly behind the scenes.
- Interested in feedback, responsibility, and continued growth.
Most importantly, we’re looking for someone who wants to build something, not simply fill a position. If you can see yourself learning, taking on more responsibility, and growing with Namify over the next several years, we’d love to meet you.
MINIMUM QUALIFICATIONS
You don’t need to have every skill on day one. We’re willing to train the right person.
At a minimum, you should:
- Be able to communicate professionally in person, over the phone, and in writing.
- Be comfortable using computers and learning new software and technology.
- Be organized enough to manage multiple tasks, deadlines, and details at the same time.
- Be dependable and follow through on commitments.
- Be comfortable handling confidential or sensitive information.
- Be willing to learn, receive feedback, and take on new responsibilities.
If you’re someone who can stay organized, communicate clearly, learn quickly, and take ownership when something needs to get done, you’ll have the foundation to succeed in this role.
Previous administrative experience is helpful, but we’re more interested in finding someone with the right mindset, work ethic, and willingness to grow.
