GENERAL DESCRIPTION/PURPOSE

The Purchasing Coordinator role supports Internal Operations by managing bids, reviewing take-offs, and processing job starts to ensure a smooth and efficient homebuilding process. The Purchasing Coordinator role works closely with the Purchasing and Estimating teams, Field Managers, Architecture, and Trade Partners to coordinate orders, verify product specifications, and maintain accurate records. This role helps ensure cost-effective procurement while building expertise in construction practices, material standards, and building codes.

JOB RESPONSIBILITIES (include the following, and other duties may be assigned)

  • Generate and manage purchase orders for new home starts and construction phases. 
  • Review and maintain takeoffs, budgets, and cost data for accuracy and consistency.
  • Assist in vendor setup, contract execution, and scope of work documentation.
  • Process and analyze variance purchase orders (VPOs) and resolve discrepancies.
  • Coordinate with field teams to ensure timely delivery of materials and services.
  • Support bidding processes and vendor negotiations for new communities and product lines.
  • Maintain purchasing data in ERP systems (Newstar).
  • Perform audits and reconciliations to ensure budget alignment and cost control.
  • Collaborate with Estimating and Construction teams to improve operational efficiency
  • Review and process Change Orders submitted by both the Design Center and Sales.
  • Ensure Trade Partners have necessary documentation in Newstar for each address to complete their duties.
  • Review and process Measurement PO’s daily.
  • Receive and process necessary invoice requests weekly.

COMPETENCIES

  • Newstar software experience preferred.
  • Proficiency in Microsoft Office (Excel, Word and Outlook).
  • Strong organizational skills and attention to detail.

REQUIRED QUALIFICATIONS

Education/ Experience:

Bachelor’s degree from four-year college or university preferred, or three plus years’ experience in related field (homebuilding industry preferred).


PHYSICAL REQUIREMENTS

  • Sitting for extended periods while working at a computer or attending meetings.
  • Occasional standing and walking to interact with team members or visit storage areas.
  • Light lifting (typically up to 20–25 lbs) when handling samples, small packages, or office supplies.
  • Manual dexterity for typing, using office equipment, and handling documents.
  • Visual acuity to read spreadsheets, contracts, and product specifications.
  • Occasional travel may be required for field visits or industry events.
