Associate Director of Communications & Marketing

Pay Range: $23.87-$32.23

Hours: Monday - Friday, 9:00 AM - 4:00 PM (Flexing when needed)


The Associate Director of Communications & Marketing develops internal communication strategy aligned with the VMRC mission.  The role manages the day-to-day traffic, production, and execution of integrated communications and marketing work. This position owns social media marketing, marketing automation, email marketing, and internal communications; executes external marketing and lead-generation campaigns; measures and reports campaign performance and return on investment; and contributes operational insight and recommendations to strategy development. The role coordinates projects, content, approvals, vendors, and deadlines to ensure accurate, timely, audience-focused communications across channels.  


 

Essential Functions - Marketing Operations and Traffic Management 

  1. Owns the day-to-day marketing and communications workflow, including intake, project setup, schedules, vendor assignments, approvals, production, publication, and follow-up. 
  2. Collaborates with the CSMO to maintain the department editorial calendar, campaign calendar, project management system, asset library, and status reporting. 
  3. Coordinates work with internal partners, external agencies, designers, web developers, photographers, videographers, printers, media partners, and other vendors. 
  4. Ensures materials are accurate, accessible, audience-appropriate, on-brand, and delivered on schedule. 
  5. Contributes recommendations, channel knowledge, performance insights, and execution considerations to annual and campaign strategy development, marketing plan & marketing budget. 

Essential Functions - External Marketing and Lead Generation 

  1. Supports execution of external marketing campaigns that drive awareness, inquiries, lead generation, event attendance, occupancy, recruitment, philanthropy, and other approved organizational goals. 
  2. Owns VMRC social media marketing, including content planning, creation, scheduling, publishing, community management, paid promotion coordination, and performance reporting. 
  3. Owns email marketing and marketing automation, including audience segmentation, list hygiene, templates, forms, automated journeys, testing, deliverability, calls to action, and conversion tracking. 
  4. Oversees vendors & makes select updates to website content, landing pages, campaign forms, community calendar listings, blogs, digital profiles, and other lead-generation touchpoints.  
  5. Develops and edits accessible, audience-focused press releases, media materials, blogs, event promotions, and supporting collateral with attention to answer engine optimization (AEO), generative engine optimization (GEO), and search engine optimization (SEO) best practices. 
  6. Partners with sales and service-line leaders to improve campaign handoffs, lead capture, source attribution, follow-up workflows, and visibility into results. 
  7. Supports customer journey automation & content development.  
  8. Assists with media requests and public relations activities as assigned. 

Essential Functions - Internal Communications 

  1. Owns the day-to-day planning, development, editing, scheduling, and distribution of internal communications for employees and residents across approved channels. 
  2. Maintains internal communication calendars, templates, channel standards, submission processes, and approvals to improve consistency and reduce duplication. 
  3. Coordinates urgent and time-sensitive internal messages with the appropriate leaders while maintaining confidentiality, accuracy, and clear approval pathways. 
  4. Monitors internal communication reach and engagement when data are available and recommends practical improvements to channels, cadence, and content. 

Essential Functions - Analytics, ROI, and Continuous Improvement 

  1. Builds and maintains campaign measurement plans, tracking links, source attribution, dashboards, and reporting processes. 
  2. Measures and reports performance across social media, email, marketing automation, website, digital advertising, events, and lead-generation campaigns. 
  3. Reports return on investment and other agreed performance indicators by connecting campaign activity and cost to measurable outcomes such as inquiries, qualified leads, conversions, attendance, applications, engagement, and revenue when data are available.  
  4. Presents clear, actionable reports to the Chief Sales & Marketing Officer and relevant stakeholders, including results, trends, lessons learned, and recommended optimizations. 
  5. Uses testing, analytics, CRM data, and AI-assisted analysis to improve targeting, content, workflows, efficiency, and campaign performance. 

Essential Functions - Technology, AI, and Data Stewardship 

  1. Serves as a hands-on administrator or power user for assigned marketing, communication, automation, analytics, project management, and content platforms. 
  2. Creates repeatable workflows, templates, documentation, and quality checks that improve speed, consistency, and transparency. 
  3. Uses generative AI and automation tools to increase productivity while applying human review for factual accuracy, accessibility, tone, brand alignment, privacy, security, and legal or ethical considerations. 
  4. Protects credentials, audience data, resident and employee information, and proprietary organizational information; follows approved data governance, consent, retention, and access practices. 
  5. Troubleshoots routine platform and workflow issues, coordinates with Information Technology and vendors as needed, and evaluates practical opportunities to improve the marketing technology stack

Requirements
  •  Bachelor's degree from an accredited college or university in Marketing, Communications, Digital Media, Public Relations, Business, or a related field and a minimum of three years of professional marketing and communications experience. 
  • Equivalent combinations of relevant education and experience may be considered. 
  • Demonstrated experience managing multiple projects, production schedules, deadlines, approvals, and stakeholders is required. 
  • Strong writing, editing, proofreading, presentation, and interpersonal communication skills are required. 
  • Must be highly organized, responsive, detail-oriented, able to work independently, and comfortable shifting priorities while maintaining quality and deadlines.
  •  Strong technical competence is required across digital marketing, content management, analytics, customer relationship management, and workplace collaboration platforms. Experience should include social media publishing and analytics, email marketing and marketing automation, website content management, search engine optimization, digital advertising, CRM data and lead tracking, online forms, dashboards, and Microsoft 365. 
  • Working knowledge of platforms such as Mailchimp, Constant Contact, Squarespace, WordPress, Meta Business Suite, LinkedIn, Google Analytics, Canva, Monday.com, and related tools is preferred. 
  • Practical use of generative AI and large language model tools is required for research, ideation, drafting, editing, workflow improvement, content adaptation, and analysis, with sound judgment regarding accuracy, privacy, copyright, brand standards, and human review.

This position regularly requires extended time in an office setting and traveling to and from meeting space destinations, on and off campus (schedule and work responsibilities could vary based on shifts, standby, PRN, emergencies, inclement weather, etc.).

This position has no supervisory responsibilities and no authority to determine who can access confidential information.

This position has no access to patient medical records and resident demographic information.  This position does not have access to employee records. This position does have access to organizational Marketing plans, goals, and initiatives.
