POSITION SUMMARY


The Radiology Practice Coordinator provides administrative and operational coordination support for a multi-site radiology practice. This role serves as a key point of contact among radiologists, hospital and imaging-site leaders, technologists, medical staff offices, and internal support teams. The Coordinator supports regulatory readiness, physician onboarding and access, credentialing follow-up, site communications, operational reporting, recruitment activities, and other administrative functions that contribute to high-quality, compliant, and efficient radiology services.

The ideal candidate is highly organized, detail-oriented, responsive, and comfortable coordinating multiple priorities across clinical and operational teams.


ESSENTIAL RESPONSIBILITIES

  • Regulatory Compliance and Accreditation
  • Coordinate administrative activities related to Mammography Quality Standards Act (MQSA) compliance for assigned facilities.
  • Support MQSA inspection readiness by coordinating site information requests, technologist access, mammography volume reports, continuing medical education documentation, and other required materials.
  • Add and maintain facility information in ZapIT and other designated compliance systems.
  • Coordinate administrative tasks associated with American College of Radiology (ACR) accreditation and maintain supporting documentation, including mammography credits and personnel records.
  • Track radiologist training and continuing education requirements and follow up on incomplete or expiring items.
  • Maintain Medical Director timesheets and related documentation to support contractual, compliance, and payment requirements.
  • Maintain organized compliance and accreditation records and communicate outstanding items to appropriate stakeholders.

Clinical Operations and Site Support

  • Maintain radiology protocols and coordinate requests for protocol changes, routing requests to appropriate clinical leaders for review and implementation.
  • Monitor and triage assigned worklists, identify recurring issues or service concerns, and escalate items requiring additional review.
  • Coordinate the administrative follow-up of hospital and imaging-site complaints, including gathering information, tracking resolution activities, communicating status, and documenting closure.
  • Prepare, validate, and distribute recurring site reports and operational updates.
  • Serve as a reliable administrative contact for radiologists, hospital partners, technologists, and internal teams to help coordinate issue resolution and support service continuity.
  • Assist with communication and follow-up related to site-specific operational needs and requests.

Physician Onboarding, Credentialing, and Access

  • Coordinate system, facility, badge, and radiology application access for newly hired physicians and other assigned team members.
  • Coordinate onboarding calls for newly hired radiologists and provide information regarding required documentation, systems, contacts, and timelines.
  • Conduct 30-, 60-, and 90-day onboarding check-ins, document outstanding items, and coordinate follow-up through completion.
  • Follow up with radiologists and appropriate departments to obtain credentialing, privileging, licensing, training, and other required documentation.
  • Maintain accurate onboarding, credentialing, and access trackers and communicate status, outstanding items, and potential delays to appropriate stakeholders.
  • Track physician contract amendments and assist with routing, documentation, and status updates.
  • Coordinate with internal and external contacts to help ensure onboarding and access requirements are completed within established timelines.

Recruitment and Practice Administration

  • Coordinate physician recruitment activities, including candidate itineraries, dinners, interviews, on-site visits, and related communications.
  • Maintain and update monthly operational scorecards, dashboards, and performance metrics; review information for accuracy and bring material trends or exceptions to the attention of appropriate team members.
  • Support meetings by preparing materials, documenting decisions and action items, and coordinating follow-up with responsible parties.
  • Maintain organized, accurate, and confidential records in accordance with practice policies and applicable requirements.
  • Assist with standardizing administrative workflows, improving communication, reducing delays, and strengthening documentation processes.
  • Coordinate special projects and administrative assignments as requested.
  • Perform other duties as assigned.
Requirements

EDUCATION & EXPERIENCE

  • Associate’s degree in radiologic technology, healthcare administration, business administration, or a related field; equivalent relevant experience may be considered.
  • Two or more years of healthcare, radiology, administrative, or coordination experience preferred.
  • Experience coordinating multiple priorities, maintaining accurate records, meeting deadlines, and communicating with clinical and operational teams.
  • Familiarity with healthcare regulatory, accreditation, credentialing, or practice administration processes preferred.
  • Proficiency with Microsoft Office and ability to learn healthcare and radiology-specific systems.


WORK ENVIRONMENT

This position operates primarily in a professional office, healthcare, or remote-work environment and regularly uses computers, telephones, video-conferencing platforms, and other standard office equipment. The role involves frequent communication and coordination with radiologists, hospital and imaging-site staff, technologists, and internal teams. Occasional travel to hospitals, imaging centers, recruitment events, or other practice locations may be required. Some schedule flexibility may be necessary to support inspections, onboarding activities, meetings, or time-sensitive operational needs.
