POSITION SUMMARY
The Special Assistant to the President & CEO leads the planning and execution of the President & CEO’s schedule, travel, and high-visibility events, including speaking engagements, board meetings, and organizational events, while also coordinating special projects and internal and external meetings. The Special Assistant will work as the primary point of contact and will manage the information flow between the President/CEO and all stakeholders, exercising strong organizational skills, attention to detail, and sound judgment in a fast-paced environment. This is a remote position.

Administration:
- Serve as a strategic partner to the President & CEO and the Chief of Staff in the oversight and management of the organization and Executive Team, acting as a primary liaison across departments.
- Lead and execute special projects and cross-functional initiatives, ensuring alignment, clear communication, and timely delivery of priorities.
- Manage the President & CEO’s internal and external engagements, including preparing materials, facilitating meetings, tracking decisions and action items, and representing the President & CEO as appropriate.
- Partner with the President & CEO and the Chief of Staff to prioritize initiatives, manage competing demands, and support efficient, timely decision-making; exercise independent judgment in elevating issues and driving follow-through.
- Cultivate and manage relationships with key internal and external stakeholders, including staff, funders, partners, and policymakers, in coordination with relevant teams.
- Drives administrative and operational support for the Executive Office, including communications, travel, expense management, and maintaining stakeholder records in Salesforce, Asana and other systems.
- Maintain a strong understanding of organizational priorities, programs, and operations to effectively support leadership and advance strategic goals.
- Proactively manage the President & CEO’s calendar, resolving scheduling conflicts as they arise and ensuring relevant staff have visibility into her availability; respond to scheduling and meeting requests within one business day.
- Track and drive timely completion of administrative and compliance processes on behalf of the President & CEO, including contracts, invoices, and notarizations, following up as needed so items do not go outstanding.
Event Planning & Logistics
- Lead planning and execution of organizational events, developing timelines, checklists, and run-of-show documents to ensure seamless delivery from planning through onsite execution.
- Coordinate all onsite event logistics for the President & CEO, including venue and vendor sourcing, catering arrangements and dietary accommodations, and preparation of event materials.
- Conduct pre-event testing of technical and AV materials, including presentations, video, and virtual meeting platforms, to confirm readiness before use in front of an audience.
- Manage hybrid and virtual meeting logistics, ensuring remote attendees are fully integrated and directly addressed throughout the meeting.
- Serve as a liaison to the events team for Prosperity Now’s planned in-person events and other key events, supporting speaker coordination, outreach, and event planning activities.
- Source and manage event-related vendor contracts (e.g., venues, photographers, caterers), ensuring accuracy of agreements and timely execution.
Research and Communication
- Partner with External Affairs to align on messaging strategy and organizational voice for internal and external communications on behalf of the President & CEO.
- Own the development, production and recordkeeping of written materials and content for the President & CEO, including speeches, presentations, briefing materials, reports, and other communications; conduct research and analysis to support messaging and strategic initiatives.
Board Coordination
- Coordinate and support the work of the Board of Directors and its committees, including developing agendas, preparing and assembling meeting materials, and documenting meeting outcomes.
- Prepare and manage Board-related communications and deliverables on behalf of the President & CEO, including reports, presentations, and regular or quarterly updates.
- Support the President & CEO in preparing for and participating in Board and committee meetings, including tracking action items and ensuring timely follow-up.
- Provide similar support, as needed, for affiliate entity boards.
- Perform other duties as assigned.
Qualifications
- Demonstrated experience planning and executing complex, high-visibility events, including vendor and contract management, onsite logistics, and troubleshooting issues in real time under pressure.
- Proven organizational skills and meticulous attention to detail, with a track record of managing multiple deadline-driven priorities and administrative processes to completion without oversight.
- Strong problem-solving skills, with the ability to anticipate issues, exercise sound judgment, and resolve challenges quickly in fast-paced, high-stakes, or live settings.
- 6 to 8+ years of relevant professional experience, including experience supporting senior leadership, managing events or complex projects, or leading cross-functional initiatives.
- Bachelor’s degree or equivalent experience required; background in community or economic development, public policy, or related field preferred.
- Exceptional written and verbal communication skills, with the ability to develop clear, compelling materials for a variety of audiences.
- Experience building and managing relationships with diverse stakeholders, both internally and externally, including vendors and outside partners.

- Proficiency with standard business tools and systems (e.g., Microsoft Office, Salesforce, Asana or similar CRM platforms).
- Spanish language proficiency preferred.

Work Environment and Travel: This job operates in a professional office environment and is 100% remote. Travel and onsite presence is required for board meetings, organizational events, and conferences as needed (estimated 10-15%). This role also supports the President & CEO when she is in Washington, DC.

Salary Range: The salary for this position is $80,314.00 to $124,487.00 per year, with a midpoint of $102,400.50
