Location: Melrose Park, Il (4 days in office)

About the Role

The HR Coordinator supports the day-to-day execution of Human Resources, with responsibility for talent acquisition, onboarding and offboarding, HR systems, and administrative HR operations.

This role manages recruiting activities from job posting through offer and pre-employment requirements while helping ensure an organized and positive employee experience throughout the employee lifecycle.

The ideal candidate is organized, responsive, comfortable managing multiple priorities, and able to work independently with a high level of accuracy, confidentiality, and follow-through. Comfortable with cross function collaboration.

Key Responsibilities

Talent Acquisition

  • Maintain job descriptions and manage job postings.
  • Source, review, and screen candidates for open positions.
  • Coordinate interviews and candidate communication.
  • Maintain candidate pipelines and provide recruiting updates to hiring managers.
  • Prepare offer letters and support offer negotiations.
  • Coordinate background checks, drug screenings, and pre-employment requirements.
  • Maintain accurate recruiting records and support hiring metrics and reporting.

Onboarding & Offboarding

  • Coordinate the new hire process from accepted offer through the employee’s first week.
  • Manage new hire paperwork and required employment documentation.
  • Coordinate orientation, training, system access, and equipment.
  • Maintain onboarding workflows and employee information in Paylocity.
  • Coordinate offboarding with management, IT, payroll, and benefits.
  • Complete required termination documentation and system updates.

HR Operations & Administration

  • Maintain employee records and HRIS data.
  • Process employee changes and maintain accurate personnel files.
  • Maintain documentation for HR audits and compliance requirements.
  • Respond to routine employee and manager HR questions.
  • Assist with HR projects and process improvement initiatives.

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or related field preferred; equivalent experience considered.
  • 2–4 years of HR experience, preferably including recruiting and HR operations.
  • Experience supporting or managing multiple open positions preferred.
  • HRIS/ATS experience required; Paylocity experience is a plus.
  • Strong organizational, communication, and follow-through skills.
  • High attention to detail and ability to maintain confidentiality.
  • Ability to manage multiple priorities.
  • Proficiency with Microsoft Office, including Excel, Teams, Outlook, and Word.

  • Open positions move efficiently through the recruiting process.
  • Candidates and hiring managers receive timely communication and support.
  • New hires are prepared for their first day with paperwork, systems, equipment, and training coordinated.
  • Employee changes and offboarding activities are completed accurately and timely.
  • HRIS data and employee records remain accurate and audit-ready.
  • Routine HR operations are managed independently, allowing HR leadership to focus on higher-level organizational priorities.
