POSITION OVERVIEW
Your primary responsibility as a Warehouse Dispatcher will be to coordinate the efficient flow of trucks through the warehouse, including yard checks, driver check-in/check-out, dock assignments, and required documentation. This role also supports assigned customer accounts by providing responsive service, coordinating order and shipment information, and resolving routine issues. This role demands strong communication skills, attention to detail, and the ability to excel in a dynamic and deadline-driven environment.
KEY RESPONSIBILITIES
Dispatch:
- Perform regular yard checks to monitor truck activity and available doors.
- Check truck drivers in and out at the warehouse window.
- Verify driver information and required paperwork upon arrival.
- Determine and communicate the appropriate dock door for each truck.
- Direct drivers to the proper door and provide instructions as needed.
- Ensure required documentation is complete and accurate before loading/unloading and before the driver leaves.
- Communicate with warehouse personnel regarding incoming and outgoing trucks.
- Maintain accurate records of truck arrivals, departures, and related documentation.
- Monitor the yard and communicate any issues, delays, or unusual activity to the appropriate personnel.
- Help maintain an organized and efficient flow of trucks through the warehouse.
Client Relationship Management:
- Serve as the main point of contact for assigned clients, building strong relationships based on trust and reliability.
- Understand clients' business requirements and proactively identify opportunities to meet their warehousing and distribution needs.
- Regularly communicate with clients to provide updates, address inquiries, and resolve any issues in a timely manner.
Order Processing and Documentation:
- Coordinate with internal teams to ensure accurate and timely processing of client orders.
- Review order specifications, documentation, and pricing to ensure compliance with client requirements and company policies.
- Maintain detailed records of all client interactions, orders, and relevant information.
Account Management:
- Monitor and track inventory levels to ensure optimal stock levels are maintained for clients.
- Collaborate with warehouse and distribution teams to ensure timely order fulfillment, shipment accuracy, and adherence to service level agreements.
- Identify opportunities for process improvements and cost savings for clients, while ensuring operational efficiency.
Issue Resolution and Escalation:
- Investigate and resolve client complaints or issues related to orders, shipments, billing, or other concerns.
- Escalate complex issues to the appropriate departments, ensuring prompt resolution and client satisfaction.
- Provide feedback and suggestions to management regarding recurring issues or trends for continuous improvement.
QUALIFICATIONS AND SKILLS
· A minimum of a high school diploma or GED is required.
· Proven 1 year experience preferred in an account representative, customer service, or similar role, preferably within a warehousing or distribution environment.
· Strong interpersonal skills: Ability to build and maintain relationships with clients effectively.
· Excellent communication skills: Proficient in conveying complex information clearly and effectively, both verbally and in writing, including proper email etiquette.
· Detail-oriented with excellent organizational and time management skills.
· Ability to multitask and prioritize tasks in a fast-paced environment.
· Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
· Knowledge of logistics and supply chain operations is a plus.
· Problem-solving skills and ability to handle challenging situations professionally.
· Physical ability to walk and move around in a non-climate controlled warehouse setting.
