The Human Resources Coordinator provides administrative and operational support to the Human Resources department. This highly visible role serves as a key resource in supporting employee onboarding, HR programs, executive scheduling, internal communications, and organizational initiatives. The ideal candidate is organized, professional, detail-oriented, and able to manage confidential information with discretion.
Essential Duties and Responsibilities
· Coordinate and facilitate new employee onboarding, including orientation scheduling, paperwork completion, and employee introduction processes.
· Assist with maintaining employee records and HR documentation.
· Administer the Club's ORCA transportation program, including enrollments, changes, terminations, and employee inquiries.
· Support benefits, payroll, and HR-related administrative functions as assigned.
· Assist with union reporting and submission requirements, ensuring accuracy and timely completion.
· Prepare HR correspondence, forms, and employee communications.
· Support recruiting and hiring activities, including interview scheduling and candidate communication.
· Assist with employee recognition and engagement initiatives.
· Serve as a point of contact for meeting coordination and executive scheduling matters.
· Handle sensitive and confidential information with professionalism and discretion.
· Internal Communications & Administration
· Coordinate and distribute the employee newsletter and other internal communications.
· Take meeting notes and prepare summaries, action items, and follow-up communications.
· Assist with planning and coordination of employee events, leadership meetings, and organizational initiatives.
· Track action items and deadlines resulting from meetings and projects.
· Maintain organized electronic and paper filing systems.
· Support special projects and initiatives for the Human Resources department and CEO.
Qualifications
Education & Experience
· Two or more years of administrative, executive support, human resources, or related experience preferred.
· Experience handling confidential information and sensitive situations.
· Experience supporting senior leaders or executives is preferred.
· Knowledge, Skills & Abilities
· Exceptional organizational and time management skills.
· Strong written and verbal communication skills.
· Ability to manage multiple priorities and deadlines simultaneously.
· High level of professionalism and discretion.
· Proficient in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
· Strong attention to detail and accuracy.
· Ability to work independently while maintaining strong collaboration with leadership and employees.
· Customer service mindset and a positive, solutions-oriented approach.
