Description

Oneida Professional Services (OPS) is actively seeking a highly motivated, full-time Medical Advanced Office Clerk Support (HEDIS) professional to provide clerical, administrative, scheduling, and medical records support within a Military Treatment Facility (MTF). This position is responsible for coordinating patient appointments, maintaining medical records, ensuring compliance with healthcare regulations, and supporting patient access to care through multiple military healthcare systems.



 Key Responsibilities:

  • Provide clerical and administrative support for medical operations and patient services.
  • Schedule, reschedule, and cancel primary care, specialty care, and other medical appointments using CHCS, AHLTA, and MHS GENESIS.
  • Determine patient eligibility for services and coordinate appropriate referrals.
  • Answer and route incoming telephone calls, take messages, and provide general assistance to patients.
  • Maintain appointment schedules, patient logs, and demographic information within government healthcare systems.
  • Contact patients regarding appointment scheduling changes and specialty care consultations.
  • Process, maintain, retrieve, update, and file inpatient, outpatient, and ambulatory procedure medical records.
  • Organize and research patient records, extract required information, and review records for referral results.
  • Conduct daily pull, delivery, retrieval, and tracking of medical records to ensure availability before patient appointments.
  • Obtain documentation and test results requested by healthcare providers.
  • Prepare reports related to medical record statistics and participate in quality assurance reviews.
  • Retire medical records in accordance with regulatory procedures and established guidelines.
  • Ensure compliance with accreditation standards and healthcare documentation requirements.
Requirements

Minimum Qualifications:

Education

  • High School Diploma or General Educational Development (GED) equivalent required.
  • Basic medical terminology knowledge required. 

Experience

  • Minimum one (1) year of medical office scheduling experience in a healthcare office setting; OR
  • One (1) year of relevant healthcare administrative experience; OR
  • Registered Health Information Technician (RHIT) or Registered Health Information Administrator (RHIA) certification.

Knowledge, Skills, and Abilities

  • Typing proficiency of at least 50 words per minute.
  • Knowledge of medical ethics, telephone etiquette, customer service, and professional communication practices.
  • Strong command of English grammar, spelling, punctuation, formatting, and written correspondence preparation.
  • Ability to communicate effectively both verbally and in writing.
  • Proficiency in general office administrative and clerical functions.
  • Experience using computers, copiers, fax machines, telephone systems, and office automation software.
  • Knowledge of healthcare accreditation standards, including Joint Commission (JCAHO) and Accreditation Association for Ambulatory Health Care (AAAHC) requirements.
  • Ability to maintain confidentiality of sensitive patient information.

Work Environment / Physical Requirements

  • Primarily sedentary work performed within an office or healthcare setting.
  • May require walking, standing, sitting, bending, and filing activities.
  • Must be able to lift and carry up to 25 to 50 pounds.
  • Must be able to access high shelving using stepladders when retrieving and filing medical records. 

Preferred Qualifications:

  • Experience using Military Health System applications, including: 
    • Armed Forces Health Longitudinal Technology Application (AHLTA)
    • Composite Health Care System (CHCS)
    • Defense Enrollment Eligibility Reporting System (DEERS)
  • Familiarity with military medical record filing systems and procedures.
  • Knowledge of Military Treatment Facility (MTF) operations and patient record management practices.
  • Experience working in a federal healthcare environment.
