Description
JOB SUMMARY
The ASC Business Office Supervisor is responsible for developing, monitoring, and training on procedures and processes within the ASC Business Office.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- ASC Pre-certifications for procedures
- Verify insurance eligibility and benefits for all patients scheduled at the ASC.
- Calculate estimated patient prepayments for ASC facility, anesthesia, and Medical Center Clinic physicians due upon check-in for scheduled services
- Contact patients by phone to notify of verified benefits and estimated patient amount due.
- Facilitate patients in making payment arrangements for procedures according to established office protocol.
- Accurately load insurance information into the practice management system.
- Register new patients into the practice management system.
- Complete above steps in timely manner according to documented procedures.
- Notify ASC Business Office Supervisor of scheduled procedures not payable in an ASC setting or procedures that require utilization of a third-party organization for payment of implantable devices.
- Patient Admissions
- Prepare patient charts including clinical and financial documents in advance of appointment according to documented procedures.
- Verify necessary referral and authorization information is in place prior to appointment.
- Verify the patient has been contacted when monies are owed at time of service.
- Count cash drawers before and after using.
- Greet and check-in patients in a timely manner according to documented procedures.
- Verify and update demographics and insurance in the practice management system at each patient encounter.
- Collect all monies owed at the time of service. Follow established protocol for receipts, cash collections, and deposits.
- Staffing
- Manage and approve employee PTO requests.
- Review and approve employee timecards.
- Departmental workflow
- Ensure all ASC patients called at least five business days prior to scheduled procedure, provided necessary information is received from physician office within an appropriate timeframe. (Timeframe TBD).
- Monitor Verification Work List for timely and accurate completion of verification and to identify training needs.
- Ensure adequate front-desk coverage at all times.
- Conduct interviews to recommend top candidates for consideration to fill vacancies; approve staff requests for time off; review and approve timecards.
- Eligibility/Authorization Denials
- Review and resolve front-end denials.
- Implement staff training and/or process improvements to prevent future eligibility and authorization denials.
- Provide ongoing analysis and feedback to Supervisor.
- Training Staff Support and other responsibilities
- Self-pay/Payment Arrangement patient follow-up.
- Good Faith Estimate (GFE) completion/training staff
- Coordinate IPG prior approvals upon notification from ASC Scheduler.
- Ensure adequate cross-training (PSR/Verification/GFE/Calc Sheets) of all staff.
- Improve and maintain goal collections at point of service. (goal TBD)
- Track productivity measurements and perform regular process audits to ensure expectations are met and to identify training needs.
- Work with Knowledge Management Coordinator and Supervisor to initiate training within the department.
- Assist in leading regular department meetings to maintain open communication.
- Assist staff with questions/problems and communicate with Supervisor appropriately.
- Respond to questions from internal and external customers in a courteous and professional manner.
- Other duties as assigned by management are accepted willingly and completed in a timely manner.

Requirements
EDUCATION/EXPERIENCE REQUIREMENTS
- Minimum education requirement is high school diploma, or equivalent.
- Minimum 3 years' experience in medical office or equivalent.
- Minimum 3 years’ experience on the Allscripts Practice Management system (or similar experience).
KNOWLEDGE, SKILLS AND ABILITIES
- Ability to prioritize and manage multiple tasks.
- Displays customer services skills, strong interpersonal skills, close attention to detail, excellent verbal and written communication skills, and basic math skills. Good organizational skills and ability to adapt to frequent changes.

- Displays computer proficiency (i.e. PC Windows, MS Office) and ability to quickly learn new applications.

- Must be able to communicate with individuals of varying socio-economic backgrounds.
- General overall understanding of other MedPro department functions.
- Good understanding of complete charge cycle, including charge entry, all aspects of insurance billing and collections and the self-pay process.

- Possess strong critical thinking and analytical skills.
