OFFICE CLERK – MAINTENANCE DEPARTMENT | HOSPITAL FACILITIES


Full-Time | $16–$18/hour based on experience
Location: Nacogdoches Medical Center – South Campus
4920 NE Stallings Drive, Nacogdoches, TX 75965
Schedule: Generally Monday–Friday, 8:00 AM–5:00 PM, with occasional flexibility based on business needs

(VRI) is hiring a full-time Office Clerk to support the Maintenance & Engineering team at Nacogdoches Medical Center – South Campus.  This isn’t just a traditional desk job. You’ll work closely with our maintenance technicians every day, helping manage the entire work-order process, responding to maintenance requests, researching information, ordering supplies, assisting with purchasing documentation, and making sure the administrative side of the department runs smoothly.  You’ll be an important part of the team — helping our technicians spend more time doing what they do best while you keep the details organized behind the scenes.

WHAT YOU’LL DO

As the Maintenance Office Clerk, you’ll serve as an important administrative hub for the department work orders, with a strong focus on supporting our technicians and managing maintenance from the point of request through completion.

Responsibilities include:

  • Receive maintenance requests by phone, email and other department channels
  • Enter and process maintenance work orders accurately in the work-order management system
  • Assign and route work orders to the appropriate maintenance technicians
  • Track open work orders and follow up as needed
  • Process completed work orders and ensure they are properly documented and closed out
  • Maintain preventive maintenance and work-order records
  • Perform ongoing data entry and maintain accurate departmental documentation
  • Generate reports and assist with tracking maintenance activity
  • Assist technicians with information, paperwork and other administrative needs
  • Communicate with hospital departments regarding maintenance requests and status updates
  • Order supplies, parts and materials as requested
  • Research parts, products, vendors, pricing and other information needed by the maintenance team
  • Obtain and organize vendor quotes
  • Assist with purchase orders, invoices and related purchasing documentation
  • Assist with regulatory and compliance documentation as needed
  • Provide general administrative support to department leadership
  • Cross-train and provide backup support for other administrative functions as needed
  • Perform additional duties and special projects as assigned

QUALIFICATIONS

  • High school diploma or GED
  • Previous administrative, office clerk or office support experience preferred
  • Experience with computerized maintenance management or work-order systems is a plus
  • Previous experience supporting maintenance, facilities, construction, property management, healthcare or another service-based operation is helpful
  • Experience with purchasing, purchase orders, invoices, quotes or vendor communication is a plus
  • Basic proficiency with  Microsoft Office and general computer systems
Salary Description
$16 - $18 p/hr, depending on experience
