Summary
As an Experience Manager specializing in pharmaceutical and Healthcare Professional (HCP) events, you will lead the planning and delivery of complex meetings and engagement programs within regulated client environments. Serving as a trusted partner to pharmaceutical clients, you'll guide programs from strategy through execution while balancing exceptional attendee experiences with compliance, operational excellence, and business objectives.
This is a client-facing agency role ideal for an experienced event professional with strong knowledge of HCP meetings, pharmaceutical compliance requirements, and best-in-class event execution. You'll work closely with clients, attendees, internal teams, and vendor partners to deliver seamless, high-quality programs that meet both business objectives and industry standards.
What You'll Do
Project Leadership & Client Partnership
- Serve as a primary contact for assigned pharmaceutical clients and programs.
- Manage project timelines, budgets, deliverables, and program communications from kickoff through completion.
- Build strong client relationships through responsiveness, collaboration, and exceptional service.
- Facilitate planning meetings, status updates, and program reviews.
- Coordinate internal teams, vendors, venues, and stakeholders to ensure successful program execution.
- Manage multiple programs and priorities while maintaining strong attention to detail and deadlines.
- Proactively identify risks, solve challenges, and keep projects moving forward.
Experience Planning & Execution
- Plan and execute a variety of HCP-focused meetings and events, including:
- Advisory boards
- Speaker programs and speaker trainings
- Investigator meetings
- Congresses and ancillary meetings
- Medical and scientific meetings
- Internal pharmaceutical meetings
- Virtual and hybrid engagement programs
- Manage attendee registration, communications, travel, accommodations, and onsite logistics.
- Coordinate venue sourcing, vendor management, production needs, and event technologies.
- Develop project plans, run-of-show documents, and operational materials.
- Lead onsite execution and serve as a trusted resource for clients, faculty, speakers, and attendees.
- Ensure a seamless attendee experience while maintaining alignment with program objectives.
Compliance & Program Management
- Ensure programs are executed in accordance with pharmaceutical industry regulations, client policies, and HCP engagement requirements.
- Manage key program elements such as attendee eligibility, honoraria, travel arrangements, expense tracking, and supporting documentation.
- Partner with client compliance, legal, medical, and regulatory teams as needed throughout the planning process.
- Support transparency reporting and accurate tracking of HCP participation and related expenses.
- Maintain organized records and ensure all required approvals and documentation are completed accurately and on time.
- Stay informed on pharmaceutical meeting and event industry best practices.
Post-Event Wrap-Up
- Manage budget reconciliation, invoice processing, attendance reporting, compliance reporting support, and program closeout activities.
- Ensure attendee participation, honoraria, expenses, and supporting documentation are accurately reconciled and finalized in accordance with client compliance and reporting requirements.
- Prepare post-event reports, insights, and recommendations.
- Conduct debriefs with clients and internal teams to identify opportunities for continuous improvement.
- Capture lessons learned and apply best practices to future programs.
What You Bring
- 5-8+ years of experience in meeting and event management, with 2-4+ years experience planning and managing Healthcare Professional (HCP) meetings and engagement programs.
- Experience supporting pharmaceutical, biotechnology, medical device, healthcare, or life sciences clients.
- Working knowledge of pharmaceutical compliance requirements and industry best practices.
- Experience managing attendee registration, speaker logistics, honoraria, travel, contracts, and reporting requirements.
- Strong project management, budgeting, and organizational skills.
- Excellent communication, client-service, and relationship-building abilities.
- Ability to manage multiple projects, deadlines, and stakeholders in a fast-paced environment.
- Proficiency with Microsoft Office and event management technologies.
- Bachelor's degree or equivalent combination of education and experience.
- Ability to travel approximately 25-30%.

Candidates must be based in one of the following states: California, Colorado, Florida, Georgia, Illinois, Kansas, Minnesota, Missouri, Nebraska, New York, Ohio, Oklahoma, South Carolina, Texas, Wisconsin. Candidates local to an Augeo office are expected to work a hybrid schedule. Candidates outside commuting distance of an Augeo office may work remotely.
