Program Coordinator
HHS Strategic Programs and Business Systems & Acquisition Program Support Division
About the Position
We are seeking a highly organized, detail-oriented Program Coordinator to support the Acquisition Program Support Division (APSD), in the Strategic Programs and Business Systems Division (SPBS) at the Department of Health and Human Services (HHS). APSD supports a broad portfolio of strategic activities across HHS, including innovation initiatives, stakeholder engagement, and acquisition program support.
As our program expands, this position will provide integrated program coordination, knowledge management, operational and administrative support to help the team effectively manage meetings, schedules, documentation, action items, deliverables, and day-to-day program activities.

SPBS & APSD Program Coordination
- Coordinate day-to-day APSD workstreams and related program activities, while also providing coordination support to the Project Manager and broader SPBS teams as needed.
- Maintain program work plans, schedules, trackers, action-item logs, requests, and other program documentation; monitor deadlines and outstanding action items.
- Prepare agendas and capture meeting minutes, decisions and follow-up actions.
- Maintain organized electronic program files and records in SharePoint and Microsoft Teams to facilitate information sharing and program continuity.
- Coordinate recurring program reporting and status updates.
- Organize, compile, proofread, and quality check presentations, correspondence, reports and other program materials for customer meetings, leadership reviews and deliverables.
- Facilitate timely information sharing and coordination among internal team members, government personnel, and other stakeholders.
- Contribute to special projects and evolving program activities as assigned.
Project Management Support & Team Coordination
- Serve as a reliable point of coordination for routine program-related requests.
- Communicate professionally and effectively with government customers, contractors, and internal personnel.
- Proactively identify upcoming deadlines, missing information, or items requiring follow-up.
- Maintain confidentiality and exercise sound judgment when handling government and program information.
- Adapt to changing priorities and contribute across program activities as requirements evolve.
Required Qualifications
- Bachelor’s degree preferred; equivalent relevant experience may be considered.
- 2+ years of experience in program coordination, project administration, administrative support, operations, or related field.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and follow-through.
- Ability to manage multiple priorities and deadlines.
- Proficiency with Microsoft Office, particularly Outlook, Word, Excel, PowerPoint, and Teams.
- Experience maintaining spreadsheets, trackers, schedules, and program documentation.
- Ability to work independently while also contributing effectively to a team.
- Professional demeanor and strong interpersonal skills.
Preferred Qualifications
- Experience supporting a federal government customer or federal contract.
- Experience with SharePoint and Microsoft Teams.
- Experience supporting program or project managers.
- Experience working in a government consulting or professional services environment.
