They are detail-oriented individuals who listen well and can anticipate the Dealer’s needs to provide a wonderful customer experience. Dealer Concierge – Duties & Responsibilities
Dealer Onboarding Ownership
· Own and manage the Dealer onboarding experience from contract execution through full system activation, ensuring a smooth, timely, and branded onboarding journey that drives early engagement and utilization.
· Coordinate onboarding activities across internal teams including Credit, Contracting, BDC, Marketing, IT, and Field Sales.
· Verify and maintain accurate onboarding documentation, including title addresses and required compliance records.
· Anticipate dealer needs, proactively remove onboarding barriers, and resolve activation issues in real time.
Portal & Systems Enablement
· Support Dealers and Auctions with K360, Momentum, and related platform setup, access, and ongoing portal usage.
· Create and manage portal credentials, permissions, and access controls.
· Schedule and conduct live or virtual onboarding demos, walkthroughs, and training sessions.
· Troubleshoot portal and system access issues and escalate to development teams as needed.
Dealer Training & Activation
· Deliver onboarding and refresher training for Dealers, Auctions, and internal Field teams.
· Develop and maintain onboarding guides, job aids, and dealer communication templates.
· Provide Spanish-language onboarding and portal support to Spanish-speaking Dealers as needed.
· Monitor early Dealer usage and intervene proactively to ensure successful activation.
Experience Quality & Continuous Improvement
· Own early-life Dealer experience quality, ensuring onboarding SLAs, adoption benchmarks, and portal success standards are met.
· Identify friction points in onboarding and portal workflows and recommend automation or process improvements.
· Provide feedback to leadership on onboarding efficiency, portal usability, and Dealer activation trends.
Professional Standards
· Maintain knowledge of Kinetic Advantage onboarding policies, procedures, and system standards.
· Participate in special projects related to onboarding enhancements, system improvements, and new process rollouts.
Education and Experience:
· Two (2) years in automotive or customer service industry preferred
· Familiarity with concepts, procedures, and processes typically used in automotive and financial services industries, particularly in credit underwriting or contracting
Skills/Abilities:
· Bi-lingual not required, but Spanish preferred
· Proficient with Microsoft Office Suite or related software
· Ability to function well in a high-paced and, at times, stressful environment
· A proactive thinker who possesses the ability to ‘think outside the box’
· Ability to provide exceptional written and verbal customer service and manage a heavy volume of customer calls, emails, and requests
· Possess the innate ability to provide solutions to turn Dealer service problems into opportunities
Physical Requirements:
· Ability to sit at a desk and work on a computer for prolonged periods of time
· Must be able to communicate clearly
· Ability to operate computer and office equipment, maintain paper files, move about an office environment
· Must be able to move objects up to 20 pounds
· Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA, and other federal, state, and local standards
