Reports To: Service Manager
Summary: Receives callers in the service department setting up shop appointments to best utilize the efficiency of the dealership’s service department. Provides basic information to all callers.
Essential Duties and Responsibilities
- Greets external and internal customers in a timely, professional, smiling and friendly manner. Listens actively, providing accurate information and advise.
- Fields calls from customers needing to arrange shop appointments
- Using the computer system arranges for the customer to bring in their vehicles
- Utilizes the shop to maximize the efficiency for the service advisors and the technicians
- If needed, arrange for the customer’s use of the company provided shuttle van.
- Performs duties as back up cashier as needed.
- Operates and maintains office machines such as computer, calculator, fax machine, and copier.
- Opens and routes incoming mail, answers correspondence, and prepares outgoing mail.
- Prioritizes and performs multiple tasks simultaneously in order to meet and exceed deadlines and expectations.
- Communicates clearly both verbally and non-verbally. Submits concise, complete, and clear legible records for both dealership and customer use.
- Maintains assigned work area and break room in an organized and clean manner. Exhibiting pride in the work area and dealership.
- Maintains personal cleanliness, grooming and uniform standards according to dealership guidelines.
- Arrives at work, takes breaks, and departs work at scheduled times. Accrues overtime only with management authorization.
- Displays high standard of ethical conduct. Refrains from unethical, dishonest and theft related behavior. Exhibits integrity, adhering to all company policies, including our commitment to ZERO TOLERANCE of discrimination and work place violence.
- Aligns behavior with the needs, priorities and goals of the organization. Fosters commitment, pride, trust and team spirit.
- Utilizes supplies and materials in a practical, economical manner. Handles all toxic chemicals and hazardous waste according to the dealerships current policies and procedures.
- Reports to management any situation or condition that jeopardizes the safety, welfare, or integrity of the dealership, its employees or customers.
- Communicates everyday, with direct supervisor if it is necessary to be late or absent.

Hourly and Salary employees will receive 6 paid holidays each year.
We offer a competitive PTO (Paid Time Off) program; employees begin to accrue hours from day one worked (eligible to use after 90 days of employment). PTO is accrued for the first 2 years at 1 hour for every 40 hours worked at 3 to 10 years 1.53 hours of PTO for every 40 hours worked and at 10 years 2.30 hours of PTO for every 40 hours worked.

Educations and/or Experience
High school diploma or general education degree (GED); or one to three months related experience and/or training or equivalent combination of education and experience.
Language Skills
Has the ability to read and comprehend simple instructions, short correspondence, and memos. Has the ability to write simple correspondence. Has the ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Mathematical Skills
Possess the ability to calculate figures and amounts such as discounts, interest, commissions, proportions and percentages.
Reasoning Ability
Ability to apply common sense and understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
