POSITION SUMMARY:
Responsible for accurately and efficiently processing vehicle titles and related legal and financial documents according to state regulations and Union Square Credit Union policies. This role supports member satisfaction by verifying documentation, finalizing vehicle sales transactions, and preparing title transfer paperwork for submission to state motor vehicle agencies.
DUTIES AND RESPONSIBILITIES:

- Prepare and manage the daily Paid Loan Report by reviewing paid-off vehicle loans, verifying title and payoff information, documenting release requirements, processing title releases and GAP letters, validating mailing instructions, retrieving and organizing loan documentation, and ensuring accurate, timely completion of all title-related payoff activities in compliance with credit union procedures.
- Review, verify, and process paid-in-full loan documentation within established service standards, ensuring accurate title release, validating title delivery instructions, communicating with members as needed, and forwarding required GAP insurance documentation to dealerships following title release.
- Process and verify vehicle title and tax documents, ensuring accuracy, compliance with applicable state, federal, and local regulations, and timely transfer to buyers or dealers. Resolve title discrepancies, verify VINs and odometer readings, and provide courteous member service regarding title-related inquiries. Drop off and pick up title work from the tax office or other titling entities.
- Process physical loan payoff payments by researching and applying funds to the appropriate member accounts, ensuring accuracy and providing all related payoff documentation to the Teller Department daily for timely processing.
- Manage incoming and outgoing mail, including organizing and distributing mail, processing outgoing correspondence, signing for certified mail, and maintaining logs of certified and carrier deliveries to ensure accurate tracking and timely distribution.
- Research newly funded consumer loans using applicable state databases to verify the Credit Union's lien has been properly recorded. Process in-state and out-of-state title filings, including ownership transfers, lien recordings, lien corrections, lien perfections, and other title-related transactions, while promptly resolving any discrepancies to ensure regulatory compliance.
- Process and verify financial and legal documents of vehicles to finalize sales deals.
- Review incoming titles and white slips for correct info. Scan completed title work into imaging software. Match titles in the software.
- Assist the Contact Center with release of lien requests, assist in retrieving documents for the Collections Department, and provide support to other departments as needed.
- Review, verify, and process all verification of deposits.
- Comply with all state and federal laws and regulations set forth by the National Credit Union Administration and other regulatory agencies
- Check names against designated lists in compliance with BSA/AML/OFAC policy and procedures
- Promote and maintain a positive and professional image of Union Square to employees, members, and the community
- Secure and safeguard at all times the confidential information of members, employees, and the Credit Union pertaining to accounts, security, and personal information
- Must have the flexibility to deal with changing work hours and locations as needed.
- Responsible for knowing and adhering to USCU policies and procedures as outlined in the employee handbook and training manuals
- Perform other duties as assigned by the supervisor, management, or Human Resources.
REQUIRED KNOWLEDGE AND ABILITIES:
Previous title experience is a plus. Knowledge of basic bookkeeping principles. Strong social and communication skills. Must be able to operate a calculator, computer terminal, and windows based computer programs.
EDUCATION:
High school diploma or equivalent.
