Join The Ascendancy Group (TAG) as the Facilities and Office Operations Manager at our Virginia Beach headquarters. This full-time, on-site role is ideal for an organized, hands-on professional who takes pride in maintaining a safe, clean, secure, well-equipped, and welcoming workplace for employees, visitors, and mission partners.
You will own the day-to-day operations of the office and facility environment—from building upkeep, vendor coordination, repairs, supplies, and workspace readiness to the accurate shipment of company-issued computers, mobile phones, and related equipment to new employees. Your work will directly support TAG’s operational readiness, employee experience, and ability to serve its government customers.
Overview
The Ascendancy Group is seeking a Facilities and Office Operations Manager to oversee headquarters facility operations, office services, workplace maintenance, equipment logistics, and vendor coordination. The Manager will serve as the primary point of contact for facility-related needs, ensure prompt resolution of building and office issues, maintain professional workspace standards, and coordinate closely with Operations, Human Resources, Information Technology, Finance, Security, and executive leadership.
Security Requirement:
An active U.S. Government Secret security clearance is required before the start date and must be maintained throughout employment.
Roles and Responsibilities:
• Oversee day-to-day TAG headquarters operations, ensuring offices, common areas, conference rooms, workspaces, kitchens, restrooms, and exterior areas are clean, safe, organized, functional, and professional.
• Conduct routine facility inspections; identify and resolve maintenance, cleanliness, safety, security, and workspace issues through timely coordination with property management, landlords, vendors, and service providers.
• Manage building maintenance, repairs, preventive services, and vendor access for HVAC, electrical, plumbing, janitorial, pest control, landscaping, security systems, furniture, and related facility needs.
• Maintain office supplies, furniture, consumables, keys, access items, and facility inventory; coordinate purchasing, obtain quotes, track work orders and invoices, and support cost-effective operations.
• Prepare workspaces and shared areas for employees, new hires, visitors, meetings, and events; support onboarding and offboarding in coordination with Human Resources, Information Technology, Facility Security, and hiring managers.
• Coordinate the shipment, tracking, recovery, and inventory of company-issued laptops, mobile phones, accessories, and other equipment for onboarding, remote employees, returns, and offboarding.
• Maintain accurate records for company property, equipment shipments, maintenance requests, vendor contacts, purchase orders, invoices, and facility-related expenses.
• Support emergency preparedness, safety, continuity, and physical-security requirements; report hazards, security concerns, and facility incidents through appropriate TAG channels.
Requirements:
• U.S. citizen with an active U.S. Government Secret security clearance required before start date.
• Minimum three years of progressively responsible experience in facilities management, office management, workplace operations, property administration, administrative operations, logistics, or a related field.
• Demonstrated experience coordinating building maintenance, vendor services, repairs, work orders, office supplies, and workplace operations.
• Experience managing office equipment, asset inventory, shipping and receiving, or equipment distribution is required; experience shipping laptops, mobile devices, or IT accessories is preferred.
• Ability to coordinate multiple priorities, track details, manage service providers, and resolve day-to-day operational issues independently.
• Proficiency with Microsoft Office, including Word, Excel, Outlook, Teams, and PowerPoint; experience using collaboration, ticketing, inventory, purchasing, or facilities-management tools is preferred.
• Strong written and verbal communication, customer-service, organization, problem-solving, and follow-through skills.
• Ability to maintain confidentiality and appropriately handle sensitive company, employee, facility, and Government-related information.
• Valid U.S. driver’s license and ability to travel locally for business needs, vendor coordination, supply pickup, or mail/shipping support, as required.
• Ability to occasionally lift, carry, move, or position office supplies, packages, and equipment up to 35 pounds, with or without reasonable accommodation.
Preferred Qualifications
• Experience supporting a cleared government contractor, Department of Defense organization, or other security-sensitive workplace.
• Experience working with commercial property managers, building maintenance vendors, access-control systems, or office relocations and workspace planning.
• Facilities management, office-administration, safety, workplace-services, or asset-management certification or training.
• Experience supporting a growing small-business or fast-paced professional-services environment.
