As a Front Desk team member at West Vista Dental, you’ll play an important role in creating a positive patient experience while helping keep the practice organized, efficient, and running smoothly.

  • Greet patients warmly and create a welcoming, professional experience from check-in through check-out
  • Answer incoming phone calls, emails, and patient messages in a timely and friendly manner
  • Schedule, confirm, and reschedule patient appointments
  • Manage the daily appointment schedule and help keep the office running efficiently and on time
  • Check patients in and out and ensure all necessary information is complete and accurate
  • Collect copays, outstanding balances, and other patient payments
  • Verify dental insurance eligibility and benefits
  • Submit, track, and follow up on dental insurance claims
  • Follow up on outstanding claims and patient balances
  • Review treatment plans with patients and confidently discuss treatment costs and financial arrangements
  • Coordinate referrals and communicate with specialists and other dental offices as needed
  • Maintain accurate patient records, contact information, and documentation
  • Obtain and update medical and dental histories
  • Assist new patients with registration, paperwork, and necessary documentation
  • Send appointment reminders and follow-up communications
  • Manage hygiene recall and reach out to overdue patients to help maintain a healthy, productive schedule
  • Follow up with patients regarding recommended and unscheduled treatment
  • Maintain HIPAA compliance and protect patient confidentiality at all times
  • Communicate closely with doctors, assistants, hygienists, and other team members to provide a seamless patient experience
  • Maintain a clean, organized, and welcoming front-office environment
  • Assist with ordering office and dental supplies as needed
  • Handle general administrative responsibilities and office correspondence
  • Deliver excellent customer service and build strong, lasting relationships with patients
  • Contribute to a positive, dependable, and team-oriented office culture

Desired Skills & Qualifications

  • Previous dental front desk experience preferred
  • Knowledge of dental insurance, benefit verification, and claims processing
  • Familiarity with dental terminology and CDT codes
  • Experience using Eaglesoft or similar dental practice-management software
  • Strong communication and patient-service skills
  • Highly organized with excellent attention to detail

Knowledge/Skills/Abilities:

  • Proficient in Microsoft Office and Teams
  • Strong verbal and written communication skills
  • Excellent customer service and leadership abilities
  • Skilled at fostering effective working relationships within the team

Education/Experience Required:

  • High School Diploma or equivalent
