Position Summary 


The Operations Coordinator helps keep CoHeWo’s offices, residential units, community spaces, equipment, and day-to-day operational systems working effectively. Under the direction of the Operations Manager, the Coordinator manages service requests, coordinates vendors and property maintenance, tracks projects, maintains operational records, supports events, and provides responsive assistance to employees across the organization. 


This is a hands-on coordination role. The work includes both computer-based tasks and physical setup, such as preparing devices, troubleshooting basic technology issues, replacing equipment, assembling or moving furniture, organizing workspaces, and helping prepare sites for new employees, meetings, events, or changing operational needs. 


The Operations Coordinator does not have a formal supervisory authority. The role works closely with the Operations Manager, administrative staff, program teams, organizational leaders, property contacts, and external vendors. Assignments may change as sites, systems, projects, and organizational needs evolve. 


What This Work Looks Like 


Operations work rarely follows a single predictable sequence. A planned project may be interrupted by an internet outage, equipment failure, building issue, urgent supply request, or a site that needs to be prepared for a meeting or new employee. The Coordinator must assess what is urgent, communicate realistic timelines, complete what can be handled directly, and involve the Operations Manager or the appropriate vendor when needed. 


The role requires strong follow-through. Coordinating a repair or technology request may involve gathering details, troubleshooting, contacting a vendor, arranging access, tracking costs, updating the requester, confirming that the work was completed, and documenting the resolution. 


Employees rely on Operations for practical help, sometimes when they are frustrated or unable to continue their work. The Coordinator is expected to remain calm, respectful, and service-oriented while maintaining appropriate boundaries and being clear about what can be resolved immediately, what requires approval, and what must be escalated. 


A Day in the Life 


You may begin the day reviewing operations requests, confirming priorities with the Operations Manager, and coordinating access for a maintenance vendor. You might then set up a laptop and mobile phone for a new employee, troubleshoot a connectivity or printer issue, document the steps taken, and coordinate advanced support with the IT vendor. 


Later, you may order supplies, compare a quote with the approved budget, update a project tracker, inspect a site concern, assemble or rearrange furniture, prepare equipment for an event, or follow up with staff to confirm that a request was resolved. The specific mix of desk-based, site-based, technical, and physical work changes from day to day. 


What You’ll Do 


Facilities and property coordination 

  • Help coordinate day-to-day operations at CoHeWo-owned or leased offices, residential housing units, community meeting spaces, and other assigned locations. 
  • Coordinate routine maintenance and larger projects involving HVAC, plumbing, roofing, cleaning, access, alarms, security, and other building systems. 
  • Receive and clarify service needs, communicate with vendors and staff, arrange site access, track progress, and confirm completion. 
  • Identify site supply, furniture, and equipment needs; obtain information or quotes; and monitor purchases within approved budgets and procedures. 
  • Assist with physical office setup, including moving, assembling, and arranging furniture or equipment for new spaces, employee workstations, events, or operational needs. 
  • Observe site conditions and promptly communicate safety concerns, property damage, security issues, or work that exceeds the role’s authority or technical ability. 

Technology and equipment support 

  • Troubleshoot basic IT issues, including device setup, connectivity problems, equipment replacement, and common employee questions. 
  • Prepare, distribute, retrieve, organize, and track assigned laptops, mobile phones, accessories, printers, and other equipment. 
  • Document the issue, troubleshooting completed, equipment affected, and resolution or next step. 
  • Coordinate with IT vendors, internal staff, or other technical resources when an issue requires advanced access, specialized knowledge, repair, or replacement approval. 
  • Protect confidential information and follow organizational requirements for device handling, account access, data security, and disposal or return of equipment. 

Projects, documentation, and continuous improvement 

  • Coordinate assigned project tasks, timelines, communications, documentation, purchases, and follow-up. 
  • Maintain clear and accurate procedures, inventories, vendor information, site records, project trackers, and other operations documentation. 
  • Track relevant expenses and supporting records, identify potential budget or timeline concerns, and bring them to the Operations Manager. 
  • Identify recurring problems, service gaps, or inefficient processes and recommend practical improvements. 
  • Learn and apply updated tools, systems, equipment, and technology as organizational needs and industry practices change. 

Events and organization-wide support 

  • Assist with planning, organizing, setup, breakdown, supplies, equipment, and logistics for meetings, staff training, conferences, employee engagement activities, and community events. 
  • Provide responsive operational support to employees, leaders, programs, IT resources, and administrative staff. 
  • Communicate status, delays, risks, and completed work clearly to requesters and the Operations Manager. 
  • Work respectfully with coworkers, residents, clients, partners, government agencies, community-based organizations, property contacts, and vendors. 
  • Participate in required training and support other related operational duties as assigned. 

What Success Looks Like 

  • Employees receive timely acknowledgment, clear updates, and practical support for operations and basic technology needs. 
  • Properties, workspaces, equipment, and events are prepared safely and according to the agreed scope and timeline. 
  • Maintenance, technology, and vendor issues are documented, tracked, escalated appropriately, and followed through to resolution. 
  • Project records, inventories, procedures, purchases, and supporting documentation are accurate and current. 
  • The Coordinator distinguishes between work they can complete, work requiring approval, and work requiring specialized vendor or technical support. 
  • Recurring issues and opportunities for improvement are brought to the Operations Manager with useful context and possible next steps. 

What Can Be Challenging About This Work 


Priorities can change quickly. Several sites or employees may need support at the same time, and not every repair, delivery, approval, or vendor response is within the Coordinator’s control. The role requires clear communication, organized follow-up, and comfort working through incomplete information without overpromising. 


Some work is physically active, may occur in occupied offices or residential settings, and may involve noise, dust, weather, stairs, tight spaces, tools, furniture, or equipment. The Coordinator must use safe work practices, ask for help when a task cannot be completed safely by one person, and stop or escalate work that requires a licensed or specialized professional. 


Technology and operational systems continue to change. Success requires curiosity and ongoing learning rather than already knowing every system. It also requires recognizing the limits of basic troubleshooting and involving the appropriate technical resource when access, security, or complexity exceeds the role.

Requirements

 

Education and relevant experience 

  • Associate degree in business administration, communications, operations management, health, social services, or a related field; at least two years of relevant experience; or an equivalent combination of education and experience. 
  • A bachelor’s degree is helpful but not required. 
  • Experience in nonprofit operations, facilities coordination, office administration, project coordination, vendor coordination, technology support, social services, healthcare, or a related setting is helpful. 

Skills and attributes

Technology and Office systems 


Strong working knowledge of internet navigation, browser-based workflows, Windows 11, and Microsoft 365, including Outlook, Word, Excel, Teams, and SharePoint. Comfort using and troubleshooting common office equipment and technology, including printers, fax machines, postage meters, multi-line telephone systems, mobile phones, laptops, monitors, accessories, and connectivity. The role requires willingness and ability to research unfamiliar tools, learn new systems, and continuously update technical knowledge as technologies and organizational needs change. 


Requirements and Conditions of Employment 

  • Valid California driver’s license, current automobile insurance, reliable transportation, and ability to travel throughout Sacramento County and surrounding counties. 
  • Maintenance of an acceptable driving record and completion of required driving-record reviews for driving-related assignments. 
  • Completion of required job-related background screening, including fingerprint clearance, consistent with applicable law and organizational requirements. 
  • Regular, predictable attendance and ability to work the schedule required for assigned operational responsibilities.

Internal applicants must meet the position qualifications and CoHeWo’s internal eligibility requirements, including at least one year in their current role as of the application closing date and being in good standing. 


Work Environment and Schedule 


This is a full-time, non-exempt position. Work is generally scheduled Monday through Friday between 8:00 a.m. and 5:00 p.m.; the specific schedule is assigned within that range and may change based on organizational needs. Occasional early morning, evening, or weekend work may be required for events, projects, urgent site needs, or other operational demands. 


Work takes place in offices, residential units, community spaces, storage or equipment areas, event locations, and other assigned sites. Conditions may include frequent interruptions, moderate noise, active workspaces, variable temperatures, stairs, uneven surfaces, and interaction with employees, residents, clients, partners, and vendors. 


Physical and Emotional Demands 


The role requires frequent sitting, speaking, listening, computer and telephone use, and use of standard office equipment. It also requires standing, walking, reaching, handling equipment, and occasional climbing, balancing, stooping, kneeling, or working in constrained areas. The employee must be able to frequently lift or move items weighing up to 20 pounds and occasionally lift or move items weighing 20–35 pounds, with assistance or equipment when needed for safe handling. Specific vision abilities include close and distance vision, color and peripheral vision, depth perception, and the ability to adjust focus. 


The work may include competing priorities, service interruptions, urgent requests, and interactions with people who are frustrated or under stress. The employee must be able to communicate calmly, use sound judgment, maintain confidentiality and professional boundaries, and seek direction or support when needed.
