Treatment Coordinator

SUMMARY/OBJECTIVE

The Treatment Coordinator supports Salience Health’s mission by providing compassionate, patient-centered care and administering daily TMS treatments. This role is responsible for treatment equipment, patient documentation, scheduling, and exceptional customer service while ensuring treatments are delivered safely and accurately. The ideal candidate is organized, detail-oriented, adaptable, eager to learn, and committed to supporting patients and the Salience Health team. Salience provides comprehensive training to prepare candidates with limited or no prior TMS experience to become knowledgeable and certified TMS Technicians through classroom instruction, hands-on experience, and competency-based training. Travel between Salience locations may be required during training.


RESPONSIBILITIES/DUTIES


Patient Care & TMS Treatment

  • Provide daily TMS treatments according to established clinical protocols, physician orders, company procedures, and applicable safety standards. Prepare patients for treatment, explain treatment procedures as appropriate, monitor patient comfort and response throughout treatment, and communicate patient concerns or changes to the appropriate clinical team member.
  • Operate and maintain TMS treatment equipment in accordance with training, manufacturer guidelines, and company procedures. Ensure treatment areas and equipment are properly prepared, maintained, and ready for patient use.
  • Provide compassionate, professional, and patient-centered care while maintaining appropriate boundaries and confidentiality. Demonstrate emotional intelligence and sensitivity when working with patients receiving behavioral health services.

Patient Documentation & Tracking

  • Accurately document patient treatments, treatment progress, patient responses, and other required information in the appropriate systems and records. Maintain accurate and timely treatment tracking and ensure documentation is completed according to company procedures and applicable requirements.
  • Review patient information and treatment schedules for accuracy and communicate discrepancies, concerns, or changes to the appropriate team member.
  • Maintain patient confidentiality and handle protected health information appropriately in accordance with HIPAA and company policies.

Scheduling & Patient Coordination

  • Coordinate patient treatment schedules and support efficient patient flow throughout the day. Communicate with patients regarding appointments, treatment schedules, and other care-related needs within the scope of the position.
  • Respond to patient questions and concerns professionally and courteously. Assist with appointment coordination, reminders, and other administrative tasks necessary to support the patient experience and daily clinic operations.

Customer Service & Communication

  • Provide exceptional customer service to patients, families, physicians, and healthcare team members. Maintain a professional, compassionate, and courteous approach in person, by telephone, electronically, and through other forms of communication.
  • Use sound judgment and emotional intelligence when interacting with patients, particularly when patients may be experiencing frustration, anxiety, or other behavioral health concerns.
  • Communicate effectively with clinical and operational team members to support patient needs, treatment continuity, and clinic operations.

Teamwork & Clinic Operations

  • Work independently and collaboratively as part of a fast-paced healthcare team. Support daily clinic operations and assist with maintaining an organized, safe, and professional treatment environment.
  • Demonstrate flexibility and adaptability when patient needs, schedules, staffing, or operational priorities change. Assist with other duties and responsibilities consistent with the position and the needs of the organization.
  • Participate in required training, continuing education, team meetings, and certification activities.

Training & Certification

  • Successfully complete Salience Health’s TMS Technician training and certification program. Training may include classroom instruction, hands-on learning, competency assessments, and supervised treatment experience.
  • During the training period, travel between Salience locations may be required. Employees must have reliable and readily available transportation to meet training and operational requirements.

REQUIRED EDUCATION/EXPERIENCE

  • Bachelor’s degree preferred, or a minimum of three years of experience in healthcare, patient-facing customer service, or a related field.
  • Previous experience working in a client-facing or patient-facing customer service environment.
  • Valid driver’s license.
  • Reliable and readily available transportation required due to travel between locations during training and as operational needs require.
  • Ability to work within the operating hours of the assigned location. Operating hours may vary by location.

PREFERRED QUALIFICATIONS

  • Previous experience in a healthcare, behavioral health, mental health, medical office, or patient care environment.
  • Experience working directly with patients or individuals receiving behavioral health services.
  • Experience with electronic medical records or other healthcare documentation systems.
  • Experience working in a fast-paced clinical or customer service environment.
  • Previous experience with TMS therapy or other behavioral health treatment is a plus but is not required. Salience Health provides comprehensive training for qualified candidates.

WORK ENVIRONMENT/WORKING CONDITIONS

  • Work is primarily performed in a professional clinical environment with frequent direct interaction with patients, families, physicians, healthcare professionals, and other team members.
  • The position requires frequent use of computers, electronic medical records, telephones, scheduling systems, and other office and clinical technology.
  • The work environment may involve frequent interruptions, changing priorities, multiple patients, and time-sensitive treatment schedules.
  • Employees may work in treatment rooms, clinical areas, reception or administrative areas, and other areas of the clinic as needed.
  • The position may involve exposure to normal healthcare-office conditions and requires adherence to applicable safety, infection-control, and confidentiality practices.
  • The position requires the ability to work within the operating hours of the assigned location. Operating hours may vary between locations.
  • The position is full-time, generally requiring 32–40 hours per week, with occasional overtime or schedule adjustments based on patient volume, clinic needs, and operational requirements.
  • Travel between Salience locations may be required during training and occasionally thereafter based on business needs. Reliable and readily available transportation is required.

  • The position requires frequent sitting, standing, walking, reaching, bending, and movement throughout the clinical environment.
  • The position requires frequent and repetitive use of the hands, wrists, fingers, arms, and shoulders for operating treatment equipment, typing, documentation, computer use, handling supplies, and other clinical and administrative tasks.
  • The position requires the ability to independently and safely use both shoulders, arms, wrists, hands, and fingers as necessary to perform essential job functions.
  • The position may require occasional lifting, carrying, pushing, or pulling of supplies, equipment, or other items used in the clinic.
  • The position may require the ability to move between treatment rooms and other areas of the clinic throughout the workday.
