We are seeking a friendly, organized, and customer-focused Front Office Representative to join our team. This position serves as the first point of contact for visitors, employees, and customers while providing administrative and customer service support that helps ensure efficient daily operations.


Position Summary

In this role, you will be responsible for managing front desk operations, greeting visitors, answering and directing phone calls, and providing exceptional customer service. You will also support customer order entry, manages customer inquiries via phone and email, and perform a variety of administrative tasks to support smooth office operations.


Primary Responsibilities

  • Welcome guests, customers, and employees in a friendly and professional manner
  • Serve as the primary point of contact at the front desk
  • Answer and route incoming phone calls to the appropriate departments and personnel
  • Provide exceptional customer service by responding to questions, concerns, and requests in a timely manner
  • Enter and maintain customer and company data accurately, reviewing information for completeness and accuracy
  • Manage and monitor shared customer service email inboxes
  • Respond to routine customer inquiries or direct requests to the appropriate team members
  • Process customer orders and assist with order management activities
  • Maintain office supply inventory and coordinate ordering of supplies as needed
  • Handle incoming mail and deliveries 
  • Electronically check in visitors and issue guest badges
  • Ensure the front reception area remains organized, professional, and welcoming
  • Restock office refrigerators and maintain kitchen and breakroom supplies
  • Coordinate lunch arrangements and accommodations for meetings and visitors as requested
  • Assist with additional administrative and customer service tasks as assigned

Qualifications

Required Skills and Experience

  • Previous experience in a receptionist, front office, customer service, or administrative support role
  • Excellent interpersonal and customer service skills with a positive, approachable attitude
  • Strong verbal and written communication skills
  • Outstanding organizational and time management abilities
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong attention to detail and accuracy
  • Comfortable working with the Microsoft Office Suite, including Outlook, Teams, Word, and Excel
  • Ability to work independently while also contributing effectively as part of a team
  • Professional appearance and demeanor
  • High School diploma or equivalent

Preferred Qualifications

  • Experience with customer order entry and order management processes
  • Familiarity with ERP and CRM systems; knowledge of INFOR and/or Salesforce is a plus
