Position Summary
The Commodity Sales Administrator supports Northstar Recycling's Commodity Sales Rubbish/Waste-to-Energy team by ensuring the accuracy of commercial data, managing customer and outlet information, and overseeing key contract administration activities. We are seeking a dynamic, highly organized individual who thrives in a fast-paced environment, takes initiative, and delivers exceptional service to both internal and external partners.
Primary Responsibilities
Contract Processing Support:
- Review sales contracts for completeness and verify that key details, such as pricing, volumes, dates, and customer information, are accurate.
- Help prepare Letter of Authorization, Award Letters, and other commercial documents.
- Work with internal teams and outlet partners to collect required documentation.
- Upload, organize, and file contracts and related documents in the company’s document system.
- Send contracts to customers and internal teams for signature or review.
- Track milestones, renewals, and expirations, and keep records current.
Pricing Support:
- Enter monthly pricing updates in internal databases and contract records.
- Monitor monthly pricing alerts and help resolve pricing discrepancies with outlet partners.
Outlet Partner Onboarding:
- Coordinate onboarding for new outlet partners, including collecting and submitting required setup documentation.
Reporting & Data Support:
- Run searches, reports, and queries in the document system to answer requests from internal teams.
- Gather, analyze, and summarize historical pricing and outlet data for the Commodity Sales Team.
Process Improvement:
- Identify ways to improve administrative processes, data accuracy, and document workflows.
Perform other duties and special projects as assigned.
Qualifications
- High School Diploma required; Associate's Degree preferred.
- Dynamic, proactive, and self-motivated with the ability to work independently.
- Excellent organizational skills with exceptional attention to detail.
- Strong interpersonal and written/verbal communication skills.
- Ability to prioritize multiple projects and meet deadlines in a fast-paced environment.
- Strong analytical and problem-solving skills.
- Proficiency with Microsoft Office, particularly Excel.
- Experience with contract administration or contract management software is strongly preferred.
- Professional and confident when communicating with customers, vendors, and internal teams by phone and email.
Work Schedule
This is a full-time, hourly position with the option to work remotely or on a hybrid schedule at our East Longmeadow, MA office. Candidates must live in the Central or Eastern Time Zone. Working hours are Monday – Friday, 8:00AM – 5:00PM Eastern (7:00AM – 4:00PM Central).
