This is an onsite position at our Facility in Ferndale, WA.
This is a part-time position working 20–30 hours per week, Monday through Friday. The specific daily schedule is flexible and can be tailored to the individual hired, with work hours falling between 8:00 a.m. and 3:00 p.m.
SUMMARY
The Reception & Administrative Coordinator serves as the first point of contact for visitors, guests, and vendors while providing essential administrative and event support to ensure smooth day-to-day office operations. This role partners closely with the Executive Assistant to support organizational priorities.
The ideal candidate is professional, organized, service-oriented, and able to effectively manage a variety of tasks.
PRIMARY RESPONSIBILITIES
Reception & Front Desk
- Serve as the primary point of contact for visitors, guests, and vendors.
- Answer and direct incoming calls and manage the general email inbox.
- Process incoming and outgoing mail and packages.
- Coordinate visitor check-ins and conference room scheduling.
- Maintain a clean, organized reception area and ensure office supplies are stocked.
Event Coordination Support
- Assist with planning and executing company events, including monthly activities and the annual holiday party.
- Support event logistics and vendor communications including invitations, scheduling, catering, rentals, setup and cleanup.
- Maintain event timelines, checklists, and records to ensure organized and successful event execution.
Office & Administrative Support
- Provide administrative support for daily office operations.
- Assist with scheduling, document preparation, and data entry.
- Coordinate with building and facility contacts as needed.
- Partner with the Executive Assistant on delegated projects and administrative tasks.
KNOWLEDGE AND SKILL REQUIREMENTS

- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and Teams).
- Excellent organizational and time-management skills with strong attention to detail.
EDUCATION AND EXPERIENCE
- High school diploma or equivalent required; additional administrative or business coursework preferred.
- Minimum of 1-2 years of experience in a reception, administrative, office support, or customer service role.
WORKING CONDITIONS
This position is based in the reception area of a manufacturing facility and involves working independently for much of the day. The role requires regular interaction with employees and external contacts while maintaining a professional and welcoming office environment. Once or twice a year evening hour may be required to support company events and special functions.
