Are you a highly organized go-getter who thrives working independently and staying two steps ahead? Do you enjoy being the person executives rely on to keep everything running smoothly?

We’re looking for a proactive, detail-driven Executive Team Assistant to provide high-level administrative support to our President/CEO, Executive Team, and Board of Directors. This is a role for a true self-starter — someone who can juggle competing priorities, anticipate needs before they’re asked, and keep our executive office running like clockwork.


What You’ll Do:

  • Manage an active executive office, maintaining efficient file and record management systems in support of agency leadership and staff.
  • Prepare reports, memos, letters, and other documents using Word, PowerPoint, Excel, and databases.
  • Maintain executive calendars, schedule meetings and conferences, and coordinate appointments.
  • Conduct research and compile information to support leadership decision-making and special projects.
  • Provide administrative support to the Board of Directors and Executive Team, including reports and correspondence, at the discretion of the President/CEO.
  • Oversee training for administrative assistants and coordinate safety drills across sites.
  • Participate in agency committees and support fundraising efforts as assigned.
  • Greet visitors and handle requests for information with professionalism and discretion.

  

Compensation and Benefits:

  • Base salary range: $48,000 – $50,000, commensurate with experience

Requirements

Education and Experience:

  • An Associate of Arts degree and at least 5 years of secretarial or executive support experience at the senior management level.
  • Proficient computer skills, including MS Office Suite, internet-based tools, and various software programs, with the ability to type at least 75 WPM.
  • Ability to demonstrate and maintain a high degree of confidentiality and professionalism.
  • A highly organized, proactive self-starter who can work independently, anticipate needs, and manage multiple priorities in a fast-paced environment.

Preferred Experience:

  • A BA degree in Office Management or a related field, with 5+ years of secretarial or executive support experience.
  • Event planning experience.
  • Donor development experience.
