Position Summary

The Health Administration Assistant provides administrative, operational, and project support to department and program managers, directors, and the Chief Clinical Officer (CCO). This position assists with department and program activities, assigned projects, compliance-related initiatives, data collection, reporting, and administrative functions that support the effective operation of Bond Community Health Center.


The Health Administration Assistant works under the direct supervision of the Chief Operating Officer (COO) and receives direction and assignments from the Chief Clinical Officer (CCO).

Requirements

Primary Responsibilities

1. Chief Clinical Officer Support & Special Projects

  • Provide administrative and project support to the Chief Clinical Officer related to compliance activities involving OSHA, AAAHC, OSV, and other applicable regulatory, accreditation, and oversight organizations.
  • Assist with coordinating and organizing  assigned projects, initiatives, and special assignments.
  • Track project activities, deadlines, deliverables, and follow-up items as directed.
  • Prepare correspondence, reports, presentations, spreadsheets, meeting materials, and other documents as needed.
  • Gather, organize, and maintain information and documentation needed for projects, departmental activities, and compliance initiatives.
  • Assist with tracking required activities, submissions, deadlines, and follow-up items.
  • Support the preparation and organization of materials for regulatory reviews, accreditation surveys, inspections, audits, and other oversight activities.
  • Assist with maintaining organized project and compliance documentation.
  • Provide administrative follow-up with departments and staff to support timely completion of assigned activities.
  • Assist the CCO with coordinating meetings, preparing agendas and materials, documenting action items, and following up on assigned tasks.
  • Perform research and compile information to support leadership decision-making and special projects.
  • Provide general administrative support to the CCO as assigned.

2. Program and Department Support

  • Provide administrative, programmatic, and operational support to managers and departments assigned by the CCO. Areas of support may include, but are not limited to:
  • Health Center Operations
  • Mobile Health Services and Outreach
  • Pharmacy
  • Clinical and administrative programs
  • Other departments or initiatives as assigned

Responsibilities may include:

  • Assist managers with administrative and operational activities.
  • Collect, organize, and maintain program and departmental data.
  • Assist with preparing routine and special reports.
  • Assist with tracking program activities, goals, deadlines, and deliverables.
  • Compile information for presentations, meetings, reports, and leadership review.
  • Maintain accurate records and supporting documentation.
  • Assist with coordinating meetings, events, training activities, and other departmental initiatives.
  • Communicate with internal departments to obtain information and follow up on outstanding requests.
  • Assist with identifying missing or incomplete information and obtaining necessary documentation.
  • Provide administrative assistance for special projects and organizational initiatives.

3. Data, Reporting & Documentation

  • Assist with collecting and organizing data from various departments and programs.
  • Prepare basic reports, spreadsheets, summaries, and other informational materials.
  • Maintain organized electronic and physical files related to assigned programs and projects.
  • Assist with monitoring reporting deadlines and required submissions.
  • Ensure documentation is complete, accurate, and maintained in accordance with organizational requirements.
  • Handle confidential information appropriately and maintain the privacy of patient, employee, and organizational information.

4. Communication & Customer Service

  • Maintain professional and effective communication with leadership, managers, employees, providers, vendors, and other stakeholders.
  • Respond to requests for information and administrative assistance in a timely manner.
  • Establish and maintain effective working relationships across departments.
  • Demonstrate professionalism, discretion, and sound judgment when handling confidential or sensitive matters.
  • Represent Bond Community Health Center in a professional and service-oriented manner.

Qualifications


Required:

  • Bachelor's degree in Healthcare Administration, Health Services Administration, Health Management, Business Administration, Public Health, or a related field.
  • Strong organizational and time-management skills.
  • Ability to manage multiple assignments, projects, and deadlines simultaneously.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint, and Teams.
  • Ability to prepare basic reports, spreadsheets, presentations, and data summaries.
  • Strong attention to detail and accuracy.
  • Ability to work independently while maintaining effective communication with leadership and staff.
  • Ability to maintain confidentiality and appropriately handle sensitive information.

Preferred:

  • Previous administrative experience in a healthcare, community health center, FQHC, medical practice, or other healthcare environment.
  • Experience supporting executives, directors, managers, or healthcare leadership.
  • Experience with regulatory, accreditation, compliance, audit, or survey preparation.
  • Familiarity with healthcare operations and terminology.
  • Experience with data collection, reporting, project coordination, or program administration.
  • Additional healthcare administration, project management, or administrative training.

Physical Requirements


This position requires the ability to perform administrative duties involving prolonged periods of sitting, standing, computer use, telephone communication, and interaction with employees, leadership, and other stakeholders. The employee must be able to perform the essential functions of the position with or without reasonable accommodation.
