Position Summary


Vinayaka Hospitality is seeking an experienced Payroll Manager to support our Chicago hotel portfolio, including The Westin Michigan Avenue Chicago and the Hampton Inn & Homewood Suites Chicago Downtown/Magnificent Mile.


The Payroll Manager will be responsible for the accurate and timely processing of payroll for union and non-union associates across multiple hotel properties. This position will work closely with Human Resources, hotel leadership, and department managers to ensure payroll and timekeeping are accurate, compliant, and processed according to established deadlines.


The ideal candidate is highly organized, detail-oriented, and comfortable managing payroll within fast-paced, 24/7 hotel operations.

Key Responsibilities

  • Manage and process payroll for union and non-union associates across multiple hotel properties.
  • Review timecards, payroll changes, overtime, paid time off, premiums, deductions, and other payroll activity for accuracy.
  • Audit payroll before submission and resolve discrepancies or system exceptions.
  • Ensure payroll is administered in accordance with applicable collective bargaining agreements and company policies.
  • Maintain accurate employee payroll and timekeeping information.
  • Process payroll corrections, adjustments, and retroactive payments as needed.
  • Partner with hotel managers to ensure timecards are reviewed and approved by established deadlines.
  • Monitor missed punches, overtime, pay-rate changes, shift differentials, and other payroll exceptions.
  • Support union payroll requirements, including wage changes, dues, benefit contributions, and related payroll administration.
  • Respond to employee payroll questions and research discrepancies through resolution.
  • Maintain accurate and confidential payroll records.
  • Assist with payroll audits and compliance with applicable federal, state, and local wage and hour requirements.
  • Provide training and support to managers regarding payroll and timekeeping procedures.

Qualifications

  • 3+ years of payroll experience; hotel or hospitality experience preferred.
  • Experience processing payroll for multiple locations or properties preferred.
  • Union payroll experience strongly preferred.
  • Knowledge of payroll practices, wage and hour requirements, and timekeeping procedures.
  • Experience with Paylocity or a similar payroll/HRIS platform preferred.
  • Strong attention to detail and ability to meet strict payroll deadlines.
  • Strong organizational, communication, and problem-solving skills.
  • Proficiency in Microsoft Excel.
  • Ability to maintain confidentiality and handle sensitive employee information professionally.
