Description

Summary

The Construction Job File Coordinator is responsible for tasks related to customer calls, project monitoring, tracking, coordination, estimate creation, and project audit. General office duties, such as drafting correspondence, filing, and creating reports, are also included within their role.

Primary Roles and Responsibilities

Project File Documentation

Review and validate project file documentation.

Monitor and ensure client requirements are followed.

Create estimates based on scope of work and update as directed.

Perform initial administrative setup.

Perform project file backup.


Project Coordination

Issue POs based on project budget.

Monitor project schedules.

Monitor project budgets.

Validate completed PO documentation.


Project Communication and Reporting

Maintain Work-in-Progress (WIP) report.

Maintain internal and external communications.

Maintain communication log.

Prepare project reports.



Project Close-Out

Complete and review project file documentation for final upload.

Manage collections activities.

Perform project close-out.


General Administration

Track and maintain subcontractor documentation.

Receive lead calls/job referrals and enter information on First Notice documentation.

Perform excellent customer service.



Requirements

Necessary Experience and Skill Set

A minimum two years of business experience

Working knowledge of current business software technologies

Superb customer service, administrative, and verbal and written communication skills

Experience in the restoration and/or construction industry preferred

Formal Education/Training

High school diploma/GED

Associate’s/bachelor’s degree preferred

Physical and Work Environment Requirements

This is a largely sedentary role in an office environment. However, some filing is required. This would require the ability to lift files, open filing cabinets, and bend or stand on a stool as necessary.
