 We are looking for dedicated and organized Administrative Assistant to join our team. This role is essential by supporting, and providing administrative assistant with various tasks to ensure smooth operations. You will need to be an organized self-starter that is diligent, responsive, take initiative, work well independently, maintain a positive attitude and strive to maintain the company's culture. Have excellent communication, observant, very attentive to detail and computer literate. Demonstrate problem-solving skills, and a willingness to work alongside with other members throughout other departments. The ideal candidate will be handling daily clerical tasks, coordinate schedules, manage communications, and assist management with special projects to streamline overall workflow.  Essential Duties: 

  •  Serve as the primary point of contact for internal and external clients, greet visitors, and manage the general day-to-day   operations of the workspace.
  •  Professionally answer phones, screen or route calls to corresponding personnel, and manage incoming emails, mail, and faxes. Draft memos, reports, and routine correspondence.  
  • Write with proper spelling, punctuation,  and sentence structure. Edit letters, prepare emails, reports and other documents must be proficient in a variety of styles, from creative to professional to technical and more.
  • Maintain complex calendars, schedule appointments, coordinate team meetings, and book travel arrangements when necessary. 
  •  Create and maintain physical and digital filing systems. Perform data entry, format documents, and assist in preparing scheduled reports. 
  • Track and order office supplies, handle inventory, and coordinate with vendors or building management for equipment. maintenance 
  • Assist with processing invoices, managing expense reports, and recording basic financial transactions.. 
  • Assist with special projects and other duties and/jobs may be assigned.
  • Proficient in English both oral and written.
Requirements

Experience, Skills and Qualification: 


Experience: 

  • Strong technical computer skills, including fluency in productivity tools like the Microsoft Office Suite. (Word, Excel, PowerPoint) 
  • Ability to make independent decisions on a daily basis, addressing the best way to handle specific tasks.
  • Ability to operate general office equipment, including computers, copiers, fax machines, and phones.


Skills: 

  • Ability to organize and prioritize daily tasks. 
  • Ability to manage time based on urgent requests.
  • Ability to multitask and manage several projects simultaneously under tight deadlines. 
  • Excellent verbal and written communication skills with a professional, helpful, and courteous demeanor. 
  • High level of integrity with the ability to handle sensitive, confidential information with tact. 
  • The person will need to do excessive walking and standing.
  • Be able to lift more than 15 lbs if needed.


Qualification:

  • High School Diploma Required.
  • Administrative Assistant experience. (Preferred)
  • Degree in Business Administration/related work experience.

Salary Description
$36,000 to $55,000 yearly
